Position Summary: The Event Coordinator plays a vital role in delivering memorable experiences and executing successful events at Zhashagiins Event Center. This position is responsible for overall utilization of the facility and guaranteeing it is maintained with excellence by scheduling regular maintenance and care. In addition, the Coordinator will be the primary contact for clients, managing all aspects of event bookings, coordinating of event staff and external vendors, and maintaining the highest standards of service and facility operations.
Essential Functions: The Events Coordinator will plan events ensuring maximum facility usage with the proper care and upkeep. This position will require nights and weekends.
Event Center Coordinator Job Duties:
- Event Booking and Coordination
- Serve as the main point of contact for clients looking to book events.
- Handle all inquiries, conduct center tours, and provide information about services and facility offerings.
- Prepare and manage event contracts, invoices, and quotes.
- Coordinate with clients ensuring proper requirements for food and beverage.
- Plan event details to include seating, dining, and guest accommodations.
- Responsible for final walk through before and after events
- Collect payment from clients
- Manage part-time or temporary staff members to ensure proper event coverage.
- Maintain Point of Sale System in bar area
- Customer Service
- Establish and maintain relations with clients and vendors with superior customer service and prompt communication.
- Manage events and resolve any issues or conflicts that arise during the planning and execution of events in a professional and timely manner.
Facility Management and Administrative Duties:
- Oversee the maintenance and readiness of event spaces, ensuring the cleanliness, safety, and functionality of the space.
- Coordinate with the maintenance team to address any maintenance issues or special setup requirements.
- Responsible for regular outdoor/perimeter inspections
- Maintain accurate records of event bookings and client transactions including event deposits, remaining balances, and bar tabs.
- Prepare monthly reports to Economic Development Committee (EDC)
- Any other duties assigned by EDC Board

Matrix of INDIRECT Reporting: EDC Board & St. Croix Tribal Council
Scope and Complexity: Interacts with all levels of management and employees; often trusted with maintaining confidentiality and relaying highly sensitive messages, and appropriate application of business operations and practices.
Physical Demands/Environment Factors:
- Ability to stand and walk for extended periods, often for several hours at a time, during event setup, execution, and teardown.
- Often requires extensive sitting with periodic standing and walking during normal office working days.
- May be required to lift up, carry, and move event materials and equipment weighing up to 40 pounds, such as tables, chairs, decor items, and AV equipment.
- Regularly transport and arrange furniture and equipment to accommodate event layouts.
- Frequent bending, reaching, and climbing of ladders or step stools to set up and break down event spaces.
- Maintain energy and focus throughout long and irregular work hours, including early mornings, late evenings, and weekends, as required by scheduled events.
- Requires significant use of personal computer, phone and general office equipment.
- Needs adequate visual acuity, ability to grasp and handle objects.
- Need ability to communicate effectively through reading, writing, and speaking in person or on the telephone.
- May require off-site travel.
Minimum Qualifications
- Associate Degree in Hospitality Management or related field
- Valid Wisconsin driver’s license and insurable
- Must demonstrate ability to assess customer and business needs and formulate plan of action. Able to identify potential issues and proactively contain and manage challenges.
- Requires basic to intermediate level computer skills and ability to access information in meaningful ways.
- Requires skill in divergent thinking, conflict resolution, and team building.
- Must have demonstrated ability to work collaboratively with all levels of clients, employees, and managers.
- Requires effective presentation, verbal and written communication skills.
- Needs commitment to timeliness and attention to detail for acceptable customer service.
- Ability to work flexible hours, including evenings and weekends, as required by scheduled events.
Preferred Qualifications:
- Bachelors Degree in Hospitality Management or related field with three years of relevant experience.
Native American Preference Given in Accordance with P.L. 93-638 and Amendments.
