The Elementary Campus Administrative Assistant at St. Francis Xavier Catholic School System will play a pivotal role in co-managing the McDonald Street Elementary Campus. The ideal candidate will support teachers, parents and staff with exceptional administrative expertise, positivity and patience.
What you'll do:
- Communicate with and serve parents, visitors, staff and students at the elementary campus.
- Communicate both in person and via phone, email, personal correspondence following up as needed to create a friendly and professional atmosphere. Document communications if/as needed.
- Ensure all information regarding students, staff, and families is kept confidential.
- Process payments and submit money to central office confidentially and ethically.
- Answer the door, monitor the security camera, and maintain working knowledge of facility security policies and procedures.
- Monitor daily absences, keep accurate attendance by: entering daily PowerSchool Attendance information; contact parents regarding students that are not in attendance; update system throughout the day as changes occur; update staff as necessary.
- Answer phone calls as necessary and disseminate the information as needed.
- Supervise students who need to stay in the office until a teacher or parent is able to take charge.
- Edit and revise weekly electronic campus newsletter, and edit and submit Principal’s campus newsletter.
- Prepare, edit and compile all family information for the start of the school year. Follow up on all forms, create and distribute the Family Directory, provide prospective families with information regarding the campus and school system.
- Assist with the collection and distribution of information to and from the classrooms throughout the school day.
- Distribute monthly bus schedules to parents and maintain weekly bus roster for staff.
- Compile and distribute information to families and staff throughout the school year including special flyers for System/school events and e-blasts of information requiring immediate attention.
- Create permanent record files for new students and process student transfer information.
- Print report cards.
What it takes:
- Associate degree in related field or equivalent experience required
- Submission to legal background check
- Ability to establish and maintain cooperative and effective working relationships with others
- Ability to communicate effectively orally and in writing
- Must have good mastery of office technology and software programs
- Must be attentive to details and have good organizational skills
- Must demonstrate the ability to maintain confidential information
- Valid Wisconsin driver’s license with the ability to travel between campuses (10 mile radius) as needed.
- Submission to a legal background check.
