What are the responsibilities and job description for the Office Administrator position at St. John's United Methodist Church?
Nature and Scope
This person is under the direct supervision of the Senior Pastor and will facilitate church office administration and general communications to advance the mission and ministry of the congregation of St. John’s United Methodist Church.
This person must understand church culture and possess a demonstrated ability to work collegially in a multi-staff setting. Must also be sympathetic to and uphold the mission of St. John’s UMC, the Illinois Great Rivers Conference, the United Methodist denomination as a whole, and the Christian faith.
Duties and Responsibilities
- Serve as first point of contact and reception in the church office
- Consult with the pastor and staff on the development of all communications material
- Participate in at least one opportunity annually for professional/and/or faith development chosen by the staff and approved by the Senior Pastor/ SPRC
Administration
- Answer phones
- Maintain up-to-date records of addresses and telephone numbers for members and constituents
- Record and maintain the official membership book and church database for baptisms, death, weddings, membership, transfers, and keep weekly attendance records
- Update Membership Directory
- Receive and process requests to use church facilities for review with staff or Board of Trustees as part of maintaining church calendar
- Prepare Charge Conference membership paperwork (annual/seasonal)
- Maintain the color and black/white copy machines, training for staff and ordering of supplies
Communication and Public Relations
- Serve as the congregation’s story teller for the members, community and the greater church
- Publish weekly bulletin and newsletter
- Oversight of the congregational website, content and links
- Write and send out weekly congregational email and special email communications (staff announcements, funeral announcements, etc.) as needed
- Distribute weekly service Worship Notes and send instructional email to worship service participants and tech team
- Coordinate design and creation of all graphics including: sermon series, internal church happenings, special events, and other graphics as needed
- Maintain all email communication contact lists on church email platform (Constant Contact)
- Maintain congregational phone list for the church phone/text tree communications platform (Call ‘Em All)
- Print and mail out weekly newsletter to homebound congregants
- Facilitate design and print materials needed for ministry teams/congregants/staff on an as-needed basis. Includes such things as: quarterly finance statement envelopes, annual Stewardship Campaign materials, all bulk mailings, special event flyers and labels, postcards, business cards, etc.
- Primary writer and editor for all media platforms. Examples are web, Facebook, X, YouTube, text messaging
- Oversee church Prayer Chain group and send prayer chain requests though church email platform (Constant Contact) as requested by congregants.
- Coordinate, in conjunction with the Senior Pastor, press releases for congregational events and newsworthy occurrences
Other duties as assigned
Work Schedule
- 26 hour position, Monday through Thursday 9:00 a.m. – 3:30 p.m.
- Attend Staff meetings to facilitate communication and planning.
- The vacation schedule shall be in accordance with the church personnel policy. It is the responsibility of this position to keep the pastor and appropriate work area committees informed of vacation plans.
Working Relationship
- This position is under the direct supervision of the Senior Pastor with a liaison from the Staff Parish Committee
- The Senior Pastor, in conjunction with the Staff Parish Committee (SPRC), determines employment
- Compensation is recommended by the Senior Pastor and SPRC, and it is approved by the Administrative Council
- Evaluation of this position will be prepared annually by the Senior Pastor and discussed with the SPRC
Skills & Qualifications
- Strong knowledge of MS Office and Google Office Suite
- Website Design and Management using SquareSpace or similar platform
- Constant Contact e-mail or similar platform
- Demonstrable graphic design skills
- Demonstrable knowledge of publishing and graphic design software
- Social media publication and marketing
- Proficient in Facebook page management (familiarity with X, Instagram, Podbean, Bible Gateway Events, Constant Contact, YouTube, Vimeo and other social media programs beneficial)
- Excellent verbal and written communication skills
- Membership management software experience is preferred
- Ability to facilitate collaboration with several off-site and part time staff/volunteers
- Able to work on tight deadlines, take initiative and work creatively without supervision
Job Type: Part-time
Pay: $19.00 - $22.00 per hour
