Work Schedule: Part time; 10-15 hours weekly (average), including some evenings and weekends
Job Purpose: Carry out those duties associated with the coordination of volunteer activities including recruit, process and orient new volunteers, and participation in the day to day activities of the Development & Communication department.
Responsibilities:
- Schedules, interviews, and provides guided tours to new volunteers and volunteer prospects.
- Develops job descriptions for volunteers based on departmental input.
- Assists and supports COA’s active volunteers as needed (program coordinators and department managers are the volunteers first point of contact after handoff.)
- Prepares required annual reports on volunteer hours and activities.
- Assists in planning & coordinating annual volunteer appreciation events.
- Develops and maintains volunteer records & mailing lists which will be used for multiple purposes, i.e., e-newsletters, fundraising drives, etc.
- Completes ad hoc reports as needed.
- Composes letters of referral, etc. for volunteers as requested.
- Maintains monthly volunteer lists for each department that utilizes volunteers.
- Composes and submits weekly press releases as appropriate.
- Attends staff meetings, conferences, and training classes as directed.
- Updates “Volunteers Needed” list for weekly press releases, etc.
- Coordinates annual Thanksgiving luncheon at O.C. White’s Restaurant.
- Cross-trains and supports the Events Coordinator and Development Administrative Coordinator.
Additional Duties as Requested
As needed, perform additional duties necessary to ensure the administrative and development functions of the organization are performed in the most professional and effective manner possible, as well as support the overall effective operation of the COA.
Qualifications:
- Two to five years of volunteer, events, and/or fundraising experience preferred.
- High school diploma or equivalent is required; College degree or coursework is preferred.
- Excellent written and verbal communication skills.
- Comfortable with public speaking in front of groups, i.e.: volunteer orientations, tours, group meetings, community networking, etc.
- Creative thinking and problem-solving skills.
- Strong organizational skills and the ability to work well in a fast-paced, energetic environment.
- Proficiency in Microsoft Office, especially Word, Excel, and Publisher.
- Experience with design software i.e., Canva and Photoshop preferred.
- Experience managing database software preferred.
- Desire to work as part of a team and willingness to promote the principles and views of COA.
- Ability to work with minimal supervision – self-motivated & confident.
- Ability to handle multiple projects simultaneously and meet defined deadlines.
- Ability to work well with people from all backgrounds with varying degrees of experience.
Working Conditions:
Position will primarily work a regular Monday through Friday schedule in an office setting located at the agency’s administrative offices at 180 Marine Street, St. Augustine, FL. Due to the nature of the work, however, at certain times evening and weekend work will sometimes be required. Meetings and events will sometimes be located at offsite locations, including outdoor venues.
