Job Summary:

The Substitute Coordinator is primarily tasked with contacting and arranging for substitute teachers at St. Johnsbury Academy. To effectively carryout the responsibilities of this position, the Substitute Coordinator, must be organized, task oriented, focused on accuracy, and have exceptional communication skills for efficient and effective interactions with faculty, staff, and substitutes.

Working Schedule: The hours for this position are 6:00 am – 11:00 am, Monday-Friday. However, flexibility will be key in this position during high absentee times. The Substitute Coordinator position will follow the Academic Year with school breaks and summer recess off. A good portion of the work is planned well in advance, but unexpected circumstances may require the coordinator to be available on short notice to arrange substitute coverage.

Major Responsibilities and Activities:

· Provides administrative support to Assistant Head for Academics for Academics and Student Life, department chairs, faculty, and substitute teachers by meeting the Academy’s need for short-term instructional staff.

· Maintain accurate information regarding all teachers, substitutes and their contract information.

· Organizes needs for substitute teachers daily. Ensuring substitutes are prepared and qualified.

· Provides substitute coverage for classes when necessary.

· Works with Human Resources Department and the Headmaster’s Executive Administrative Assistant to maintain a pool of prospective substitute teacher candidates.

o May assist with Interviews of potential qualified substitutes.

o May assist HR with reference checks

o Coordinates with Human Resources Office background check and payroll paperwork

· Trains new substitutes and organizes lesson plans (critical aspect of the position).

o Teaches and provides instruction to substitutes of classroom expectations and protocols

o Provides recommendation to Human Resources for maintaining or removing substitutes.

o Collaborates with faculty members for feedback regarding substitute performance. Address and instructs sub when appropriate.

o Ensures sub follows written plans of absent teacher

· Tracks and reports on all substitutes across all departments; reporting is done weekly and by semester.

o Prepares absences reports for every absent teacher indicating dates and substitute

o Maintains a calendar of requests for scheduling sub assignments

o Submits absence reports to Department Chairs for approval and signature, and return

o Process substitutes pay report for each week and submits to Human Resources for payroll processing

o Maintain excel file for each academic year with an aggregate of teacher absences and substitutes for those absences.

o Submit excel file to HR for payroll processing, Business Services for school district billing and school records.

· Collaborates with teachers to ensure sufficient coverage is being met

o Accepts planned and emergency sub requests

§ Responds to email requests

§ Gather pertinent data and questions for clarification, to avoid scheduling errors

o Accept and disseminate plans from teachers to substitutes.

§ Properly teach and train substitutes on the plans

o Provide class roster to substitutes

o Coordinate single block request with other scheduled subs for efficiency

o Maintain roster of single block substitutes

o Maintain a list of teachers on free block for single block requests, when applicable

· Coordinates with Assistant Head for Academics & Student Life Office to meet and provide proctor testing demands

· Demonstrates and promotes SJA’s core values of excellence, safety, and integrity.

o Provides timely and clear communications to internal and external clients

§ Maintains integrity with respect to the hierarchy of SJA

§ Responds to emails timely

o Demonstrates initiative and team support

· Foster strong relationships with SJA colleagues

· Ability to prioritize workload and work with multiple Department Heads

· The ability to work independently and perform multiple tasks simultaneously

· Intermediate level proficiency with Microsoft Excel, Word, and Outlook

· Resilient, self-starter, personable, diplomatic, and attentive to details

EDUCATION/WORK EXPERIENCE:

Associate degree required, BA/BS a plus. Work experience, three years or greater, in an administrative or teaching role in an education environment is desirable.

Duties are normally performed in a school/classroom or office environment. The noise level in the work environment is usually moderate. Some remote work may be expected outside of the school day.
