Business Office Manager
REPORTS TO: Center Administrator
DESCRIPTION: Performs a variety of finance and administrative duties to support Administration and Operations staff including coordination of hospitality and logistics for Congregation events.
ESSENTIAL FUNCTIONS:
- Responsible for accurate census data as it relates to the Sister's of St. Joseph current level of living, hospital stays, move-ins, move-outs, etc.
- Responsible for private pay billing; entering demographic information needed for producing monthly invoices which reflects the accurate daily and/or daily rates as listed in the resident. agreement and any ancillary charges and posting any payments received.
- Responsible for any communications between the Center and any approved family members related to monthly resident or Sister invoices.
- Responsible for assuring all vendor invoices have been approved, coded and sent to the identified accounts payable service center.
- Assist in coordinating of the annual budget, audit and tax return preparation in conjunction with the Center Administrator, CSJ Initiatives and CSJ Finance departments.
- Finance liaison between the Center staff, residents, Sisters and CSJ/CSJ Initiatives.
- Responsible for the posting of any payments received.
- Responsible for staffing and operations of the Reception Department; assuring that there is adequate receptionist overage at the front desk. Hiring and annual performance reviews for reception staff will be done in collaboration with Center Administrator.
- Provide hospitality services for CSJ guests; coordinating accommodations and preparations for guests; rooms, keys, hospitality, meals, transportation and outside lodging.
- Other duties as assigned.

- Strong computer literacy; Microsoft Office; Outlook
- Excellent written and oral communication skills
- Keen attention to detail; ability to follow through and prioritize and plan
- Effective time management skills are required
- Excellent customer service skills, courtesy, patience and sound judgment
- Pleasant, patient interpersonal and telephone skills required
EDUCATION AND EXPERIENCE:
- High School diploma or equivalent
- Customer service experience preferred
PHYSICAL ACTIVITY REQUIREMENTS:
- Lift 25 – 30 pounds
- Use of carts and safe lifting practices required
