$250.00 Retention Bonus ($125.00 after 90 days and $125.00 after 6-months of satisfactory service)

What do we need?The Child Development Center Office Assistant assists the Director and Assistant Director of the Child Development Center (CDC) with performing clerical work, administrative and business functions related to the day to day operations of the CDC.
Essential Functions:
- Assists the Director with the creation of and maintenance of paper and electronic files for all CDC children, including entering and maintaining information stored in the Procare database, in accordance with STARS, COA and OIG guidelines.
- Assists the Director with the creation of and maintenance of staff training records in Relias and ECE-TRIS, helping to ensure that all trainings completed by staff in the RELIAS system are submitted to and accurately recorded in the ECE-TRIS system in a timely manner.
- Monitors children’s files monthly to ensure that all children have an up to date Immunization Certificate and proof of a well child check up within the last year.
- Sends monthly reminders to CDC families regarding Immunization Certificates and Well-Child Checkup documentation as needed.
- Prepares and collects monthly documentation for all state foster care, kinship care and CCAP billing and sends the documentation to the Finance department in a timely manner.
- Prints and/or distributes monthly reports from Procare to classroom teachers (e.g. enrollment, rosters, allergies), Advancement staff (e.g. contact information for new families) and Finance staff (e.g. changes in enrollment) as directed by the Director.
- Enters all incident and illness reports into a spreadsheet to be used for monthly reporting to the Safety Committee.
- When needed, covers the Front Desk for breaks and/or due to staff absence.
- When needed and if adequately trained, may cover breaks for CDC staff.
- Makes copies for CDC staff as needed.
- Assists the Director / Assistant Director with communication to other agencies via fax / email as needed.
- Attends any trainings required by St. Joseph Children’s Home or as requested by the Director for compliance with licensing regulations.
- Maintains confidentiality of all student and employee records / information.
- Attend staff meetings when requested by the Director.
Education and/or Experience:
- High school Diploma (or equivalent) required.
- Prior clerical experience preferred with proficiency in Microsoft Word, Excel, and child care software programs.
