QUALIFICATIONS:

 

  • Minimum 3 years of related office experience, with school office experience preferred.
  • High level of experience with and competence of on-line data management system(s).
  • Working knowledge of computers and computer software, especially the Microsoft Office Suite and Google Apps.
  • Ability to handle confidential information.
  • Ability to work independently and as part of a team.
  • Responsibility of employee to obtain and maintain all training(s), certificate(s), approval(s), etc. and provide documentation to the business office before expiration of said document(s).
  • Must be able to lift up to 20 pounds.
  • Required to have a physical presence at the designated job site each scheduled work day.
  • Must have regular and reliable job attendance, performance and the physical ability to do the job.

 

PERFORMANCE RESPONSIBILITIES:

 

  1. Oversee and maintain an up-to-date calendar for the Special Education Administration Department, communicating regarding upcoming appointments and meetings, which includes technology set-up for meetings, snack and meal planning, sign-in sheets, and overall maintenance of the scheduled meeting(s).
  2. Communicate, plan, attend and record accurate details of meetings as delegated by the Executive Assistant for Special Education.
  3. Ensure annual agreements are updated in a timely manner and original signatures are kept on file (i.e. Special Education Agreements, grants, memorandums of understanding, contracts, etc. under the direction of the Executive Assistant of Special Education.
  4. Work with Marketing/Communication Specialist to update and maintain the web page for Special Education.
  5. Process special education student referrals and exits including Early Childhood, and 3-5 year olds.
  6. Prepare “10-day no-contact” dates and letters in coordination with Early Childhood ancillary staff, including follow-up and exiting students from PowerSchool.
  7. Assist with Early Childhood calls and paperwork.
  8. Communicate with the Parent Advisory Committee (PAC), including planning and scheduling meetings and agendas.
  9. Manage and organize the annual PAC Awards reception.
  10. Maintain up-to-date Special Education Mentoring Guide for the ISD to support the Technical Assistant and Monitoring team.
  11. Support other ISD office assistants, including Pathfinder Educational Center.
  12. Assist and back-up other ISD office assistants as needed.
  13. Assist Special Education Supervisors as needed.
  14. Perform other duties as assigned by St. Joseph County ISD Administration.

TERMS OF EMPLOYMENT:  A 260-day position. Salary and conditions of employment are determined by the Board of Education.
