What are the responsibilities and job description for the Assistant Orchestra Personnel Manager position at St. Louis Symphony Orchestra Career Center?
POSITION SUMMARY:
Join the SLSO during one of the most thrilling times in the history of the orchestra as we return to the beautifully renovated Powell Hall for our 2025-2026 season. This is an opportunity to create a lasting impact on audiences and the St. Louis community.
Assists the Director of Orchestra Personnel in ensuring compliance with all union contracts, acting as liaison between management and Orchestra, administering Orchestra auditions, and serving as a resource and counsel for Musicians. This position works closely with members of the Artistic Operations team and the Human Resources department to ensure that the musicians’ needs are met during orchestra services, with the shared goal of providing an environment for the best possible music making.
FUNCTIONS OF THE JOB:
1. Work personnel duty for Orchestra services as assigned and during split orchestra weeks, including all weeks of Opera season. Ensure Orchestra working conditions and activities are in compliance with the provisions of all Orchestra agreements, including Master Agreement and Side Agreements between the SLSO and Local-2-197 AFM, and local and national electronic media agreements.
2. Serve as liaison between Orchestra members, management, staff, Music Director, guest conductors, and committees.
3. Communicate with conductors regarding work rules, illnesses, and related issues. Communicate last minute personnel changes to stage crew.
4. Document attendance in accordance with established procedures.
5. Resolve routine orchestra personnel problems in a consistent and fair manner in consultation with the Director of Orchestra Personnel.
6. Assist in communications between Orchestra Musicians and Management by performing duties such as distributing musician seating, weekly schedules, and travel information, and by collecting materials from musicians such as leave requests, archival recording orders, and travel forms.
7. Provide general administrative support to the Chief Operating Officer and the Director of Orchestra Personnel, including meeting scheduling and logistics, filing, correspondence, and data entry.
8. Assist the Director of Orchestra Personnel with preparation for and execution of Orchestra auditions, including: creation of audition advertisement and applicant materials; serving as primary contact for correspondence with applicants; processing all resumes, deposits and application forms; working for all audition days.
9. Assist in coordinating Orchestra payroll.
10. Process reimbursements for substitute musician expenses, invoices for orchestra-personnel related expenses, and orchestra-personnel deposits.
11. Assist the Director of Orchestra Personnel on all media services and related activities, such as processing of media payments to musicians and distribution of complimentary media.
12. Travel with Orchestra while on tours and services outside of Powell Symphony Hall as assigned; in addition to regular duties, assist in supervising Orchestra related activities and travel.
13. Attend operations department, production, and other meetings as required.
14. Perform other related duties as needed or directed.
