Description

This position is essential and is required to report to duty before, during, and immediately after a civil emergency.

SUMMARY

Advanced and difficult administrative support. Support of the Chief Operating Officer, Department of Administration, and the St. Lucie County Sheriff's Office. This position deals with access to sensitive and personnel data and requires a high degree of confidentiality. Facilitates the development of public trust and confidence in the agency.

ESSENTIAL RESPONSIBILITIES

Keeps the mission, vision, and values of the St. Lucie County Sheriff's Office at the forefront of decision making and action; builds strategic and collaborative relationships and interacts with others in a way that builds confidence and trust; provides excellent customer service by taking action to accomplish objectives; maintains high levels of work and productivity by generating innovative solutions to work situations.

Performs duties of a staff assistant nature to support the Chief Operating Officer. Secures details of specialized information, coordinates office work, and provides information regarding the services and operation of the Department of Administration.

Manages calendars and schedules appointments for the Chief Operating Officer. Receives and screens calls and refers callers to other employees.

Prepares weekly agendas for the Chief Operating Officer as well as weekly & monthly accountability agendas. Takes notes and minutes of conferences, meetings, and functions as required.

Prepares forms and composes letters; Manages complex administrative projects.

Sets up and maintains specialized office files. Makes copies and files letters, reports, and related technical information in the prescribed manner. Retrieves data for reports and assembles information for others' use.

Opens, prioritizes, and processes mail.

Maintains accurate correspondence records; composes and types various correspondence, memorandums, reports, certificates, financial records, policies, and any other type of agency-related documents generated by this department.

Performs research and retrieval of records. Conducts statistical comparisons of information. Assists in the preparation and maintenance of department records.

Orders and maintains office supplies.

Monitors programs and systems.

Assists in budget preparation and monitoring.

Arranges and coordinates travel reservations and reconciles travel, which includes maintaining accurate documentation for all purchasing card charges.

Performs office management functions and coordination.

Other duties may be assigned by the Chief Operating Officer or the Office of the Sheriff.

May be subject to random drug testing.

Qualifications

MINIMUM REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must pass a comprehensive background / character investigation, medical examination, drug screening, and polygraph examination; fingerprinting will be required.

EDUCATION AND / OR EXPERIENCE

Graduation from an accredited college or university with an Associate's Degree preferred. Five (5) years of progressively responsible administrative experience required. Experience in performing exacting administrative work, five (5) years of which must have been of a progressively responsible nature, required. Some experience of working in Law Enforcement is preferred.

A comparable amount of training, education, or experience may be substituted for the minimum qualifications.

If applicant served in the military, an honorable discharge is required.

CERTIFICATES, LICENSES, REGISTRATIONS

Possession of valid Florida driver's license and maintenance of a clean driving record required.

KNOWLEDGE, SKILLS & ABILITY

Knowledge of business English, spelling, and punctuation to prepare documents, compose letters, etc.

Knowledge of the agency's policies, procedures, and practices.

Knowledge of administrative and clerical procedures.

Knowledge of customer service principles and practices.

Advanced knowledge of standard office methods and procedures.

Advanced knowledge of Microsoft Office Suite, including but not limited to Word, Excel, Outlook, and PowerPoint.

Knowledge of general accounting principles.

Ability to analyze a variety of administrative problems and make sound recommendations.

Ability to focus on the positive in every situation.

PHYSICAL DEMANDS

Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and / or pulling of objects and materials of light weight (5-10 pounds). Some physical effort and / or minimal dexterity in use of fingers, limbs or body in operation of office or shop equipment are required. Work is performed in usual office conditions with rare exposure to disagreeable environmental factors. Some tasks require visual perception and discrimination.
