Position Description:
Under minimum supervision, performs all secretarial, typing, clerical and general office duties for the administration of the Church. Assures uniformity of office procedure with established requirements. The employee must be responsible and self-disciplined in meeting deadlines and exercise considerable initiative, judgement and discretion in performing all work. Above all, the employee must maintain confidentiality in all church matters.
Major Duties and Responsibilities:
1. Screens telephone calls and visitors. Answers general inquiries concerning St. Mark. Refers matters requiring the personal attention of the senior Pastor or other staff members with pertinent materials necessary for review.
2. Types memos, letters, statistical and narrative reports, statements, bulletins, manuals, financial reports, budgetary documents, and general correspondence. Composes routine correspondence on own initiative. Reviews documents submitted by the Senior Pastor and staff for typing, making corrections for errors in grammar, punctuation and spelling. Compiles and types special reports, verifying data, computing figures, and checking computations and figures.
3. Creates and designs bulletins, the Newsletter, flyers, invitations, and announcements as needed for distribution to church members and the public. Creates files in computer to collect data in such a way that various statistical information can be retrieved at the request of the Senior Pastor.
4. Sorts and files correspondence, forms and other office documents according to established guidelines. Establishes and maintains filing systems as instructed and retrieves filed material as directed.
5. Advises service providers and church members of dates available for various activities and programs to be held in the church. Secures requests for use of church facilities and refers them to the Trustees or the Senior Pastor as appropriate.
6. Orders office supplies as needed. Operates and requests service on equipment such as copy machine, computer, typewriter, etc.
7. Responsible for keeping track of leave time, leave requests, whereabouts of employees during working hours, time sheets, and sign in sheets.
8. Prepares and makes deposits. Write checks, including payroll checks, for signature by appropriate signees.
9. Keeps all Church calendars up to date and maintains current materials on the website.
10. Prepares all monthly, quarterly and annual reports including tax reports, contribution statements and Methodist Conference reports.
11. Various other duties as assigned.
Required Knowledge and Abilities:
1. Knowledge of the general operations and procedures of the Church.
2. Knowledge of business English, spelling, punctuation, arithmetic, and etiquette.
3. Knowledge of report preparation techniques and procedures and a demonstrated ability to prepare and evaluate professional reports and other documents.
4. Knowledge of the operation of commonly used office equipment, especially the use of personal computers, and Windows based software for work processing and spreadsheets.
5. Ability to accurately and rapidly compose effective correspondence.
6. Ability to work independently and use sound judgement in decision making and problem solving.
7. Ability to present ideas in a clear and concise manner, both orally and in writing.
8. Ability to establish and maintain effective working relationships with co-workers, vendors, church members and Methodist Church administration.
Physical Requirements:
Level of manual dexterity sufficient to allow for operation of typewriter, terminal keyboard, telephone, facsimile machine, calculator, etc. Ability to move, handle, or lift small objects around desk area, e.g. files, computer printouts, reports, calculator, pencils, legal pads, etc.
Minimum Education, Training, and/or Experience:
Graduation from a standard high school or vocational school supplemented by courses in business administration or secretarial science and two years of experience in responsible secretarial work; or any equivalent combination of education, training and experience which provides the required knowledge and abilities.

Pay: $18.00 - $19.00 per hour
