We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our church office, programming, and/or ministries by providing essential administrative support. This position requires excellent communication and computer skills including Windows, Word, Publisher, PowerPoint, Media Shout and internet/social media skills such as Facebook and website knowledge. Must have the ability to manage multiple tasks efficiently with flexibility and adaptability. A strong background in customer service and clerical duties is preferred. Must demonstrate helpful and positive people skills when working with the public or guests of the church, paid staff, volunteers, committee persons, and contract workers with compassion and tact.
Responsibilities
1. Responsible for internal and external communication of the church. Direct and respond to correspondence and prepare news releases, publications, advertising, worship bulletins, newsletters, mailings, meeting notices, inter-staff communications, social media, and slides displayed for worship services.
2. Prepare for all worship services and funerals. Assist Wedding Planner with weddings. Coordinate required set up and preparation of facilities. Communicate with staff and volunteers regarding elements of worship such as appropriate flowers, communion elements, and liturgy.
3. Prepare and do final review of worship materials and content including slides, bulletins, and inserts. Ensure screen projection and broadcast connections are ready in advance.
4. In coordination with Trustees Committee schedule building use and maintain master calendar. Identify potential conflicts and communicate to Trustees.
5. Coordinate volunteer and custodial and/or maintenance work for church properties including the church building, parsonage, storage building (as needed), and Trinity Hope as directed by the Trustees.
6. Maintain and follow security procedures.
7. Compile, coordinate, and maintain records and supplies used in church ministries, along with other duties as directed by the Senior Pastor.
Experience
- Proven experience as an Administrative Assistant or in a similar role is preferred.
- Familiarity with phone systems, data entry, and clerical tasks is essential.
- Experience in a church office setting is a plus.
- Strong organizational skills with attention to detail and the ability to multitask effectively.
- Excellent proofreading skills to ensure high-quality documentation.
