Job Title/Description: Parish Administrator
Summary:
St. Paul’s Church and Christ Church are non-profit religious organizations. We are local Christian communities that are parishes of the Episcopal Church in Connecticut (ECCT) and devoted to participating in God’s mission of love and healing in Bantam, Bethlehem, the surrounding area of Connecticut, and beyond. The parishes are in the process of merging in order to enhance worship, fellowship, and ministries with the wider community. We seek a dynamic Parish Administrator who is: committed to the mission of community-building; a self-starter who can anticipate the administrative needs of a growing faith-based organization; accustomed to and enthusiastic about use of 21st-century technology, including social media; detail-oriented and willing to troubleshoot tech and other issues when needed; and who demonstrates strong interpersonal skills, including maintaining appropriate boundaries with parishioners and community members.
Employment Classification/FLSA (Fair Labor Standards Act) Status: At-will, hourly, Non-exempt employment
Supervisor: The Parish Administrator works at the discretion of and under the supervision of the Rector/Priest-in-Charge (PIC). The Parish Administrator understands that all employment-related questions and concerns are to be directed to the Rector/PIC and not to vestrymembers, parishioners, or other community members.
Duties and Responsibilities include the following:
- Preparation and design of all written parish communications, including, but not limited to, service leaflets when directed by the Rector/PIC, notices sent to email distribution lists, and stewardship and other mailings. Coordinating as needed with contracted media support for assistance with flyers and other publicity.
- Maintenance of lay ministry schedules, including weekly notification to lay leaders by email or phone. Preparing written materials for worship, including weekly bulletin, prayer list, hymn list, and other materials as needed.
- Monitoring parish email, responding as appropriate, and notifying the Rector/PIC or appropriate lay leader as needed.
- Working with the Rector/PIC to monitor the parish website, update it with routine information, and serve as liaison with the parish’s website management company regarding large-scale changes as needed. Posting to parish Facebook and YouTube pages, including the recorded Sunday service and sermon. Coordinating as needed with contracted media support for assistance.
- Working with the Rector/PIC, contracted media support, and parish leaders to develop an expanded presence on social media, including Instagram and other media utilized especially by young adults and youth.
- Answering and responding to phone calls and voicemail messages.
- Assisting the Rector/PIC as needed with maintenance of parish archives and records and completion of parochial and ECCT reports. Maintaining an up-to-date parish roll and directory of members and up-to-date distribution lists for parish communications.
- Interacting with parishioners and members of the public who call or come to the office and assisting with appropriate responses to questions and needs and maintaining appropriate boundaries and confidentiality.
- Bi-weekly processing of timesheets and payroll.
- Periodic ordering of supplies and communication with vendors as needed, including, but not limited to, cleaning, fuel, repair, and other services.
- Retrieval of USPS mail from post office box, opening and sorting it, and directing it to PIC and/or appropriate lay leader.
- If needed and as assigned by the Rector/PIC, transcribing recordings of parish and vestry..
- Maintaining the roadside sign with up-to-date information regarding the parish’s worship services and events.
- Other duties that may arise and as assigned by the Rector/PIC.
Work EnvironmentThe work environment is characteristic of work performed in an office. The noise level is usually low to moderate. The physical demands are characteristic of work performed in an office, with occasional need to climb stairs; balance, stoop, crouch, or kneel; and/or lift or move up to approximately 10 pounds. Position Type, Expected Hours and Location of Work, and Compensation
This is a part-time, non-exempt position of 19 hrs./wk. The office hours are as follows: (If a lunch break is taken during work hours, the end time for the day shall be adjusted accordingly.)
Monday: 10 am - 2 pm
Tuesday: 10 am - 2 pm
Wednesday: 10 am - 2 pm
Thursday: 10 am - 2 pm
Friday: 10 am - 1 pm
The hourly compensation is $20.00 - $30.00/hr., commensurate with experience. Until the parishes are merged, 14 hours of work will be paid by St. Paul’s and 5 hours of work will be paid by Christ Church.
The location of employment will be the parish office of St. Paul’s Church, unless otherwise authorized by the Rector/PIC, such as when remote work may be possible and/or needed. For any remote work, the Parish Administrator must be able to utilize his or her own desktop or laptop computer, smartphone, or tablet, or be willing to utilize one provided by the parish. The Parish Administrator must be able to utilize a cell phone for voice, text, and/or email communication with the Rector/PIC, or be willing to utilize one provided by the parish. Overtime compensation in accordance with state law will be paid as authorized in advance of the work by the PIC.
Travel and Other Benefits:
2 weeks (38 hours) of paid vacation time per year and 1 week (19 hours) of paid sick/personal time per year. Notice of intended vacation time is to be provided to the Rector/PIC at least 1 month in advance and is subject to approval by the Rector/PIC, e.g., vacation time should not be taken during Holy Week, the week before Christmas, or other significant events in the parish’s calendar year without arrangements having been made for completion of necessary work.

As religious non-profit organizations, St. Paul’s Church and Christ Church do not participate in either state or federal unemployment compensation pools, and, therefore, should employment in this position terminate for any reason, no benefits would be payable under those programs.
Qualifications:
- Familiarity with technology, including desktop and online applications and programs such as Word, Excel, Google Documents, Mail Chimp, and others as needed. Knowledge and ability with respect to social media, including Facebook, YouTube, and other media as needed.
- Knowledge and ability with respect to basic graphic design.
- Awareness of the parish’s primary commitment to God’s mission and the work of adaptive change for 21st-century ministry. Understanding of the Parish Administrator’s role in fulfilling that commitment, including the necessary attention to detail and deadlines and the ability to work on occasion with minimal supervision to carry out successful ministries.
- Excellent interpersonal skills.
- Completion of the most current Form W-4 (Federal & CT), Form I-9, and a consent form for a public record background check. Willingness to attend Safe Church, Sexual Harrassment Prevention, and other state- or ECCT-required trainings.
Education/Experience:
- Relevant educational certification, experience, and/or demonstrated competence in administrative, design, and/or communications-related tasks, projects, and responsibilities.
- Experience with non-profit organizations a plus.
