Position Summary
The Advancement Services Associate is responsible for maintaining data integrity, executing data updates, and providing administrative support for donor stewardship and advancement operations. This role plays a critical function in ensuring accurate donor records, coordinating acknowledgment processes, and supporting the planning and execution of advancement activities. This position operates in a professional office environment and may require occasional evening or weekend work to support Advancement events and activities. This is a 12 month role.
Job Responsibilities
- Data Management & Integrity
- Leads data integrity and cleanup initiatives, including strategies for identifying and updating "lost" constituents.
- Performs data pulls, analysis, and reporting as directed.
- Executes data updates, including contact information, scholarships, awards/recognitions, volunteers, unsubscribes, and Veracross activities/clubs.
- Collaborates with Admissions on the import and integration of new family data.
- Gift Processing & Donor Acknowledgment
- Prepares and sends gift receipts, acknowledgment letters, and tributary letters in collaboration with the Annual Giving Manager.
- Coordinates first-time donor and fiscal year-end postcard mailings, as well as calendar year-end tax letters.
- Administrative & Departmental Coordination
- Coordinates planning and scheduling for department meetings, including weekly major gifts meetings, bimonthly full staff meetings, and meetings with the business office, communications, and operations teams.
- Manages orders and updates for plaques, memorial trees, and other donor recognition elements.
- Coordinates special donor outreach efforts, such as event host/hostess recognition, birthday and condolence outreach, and sympathy gifts/cards.
- Provides logistical support for mailings, invitations, and other donor communications.
- Orders office supplies and maintains inventory as needed.
Job Qualifications
- Bachelor’s degree preferred or equivalent work experience.
- Minimum of 2-3 years of experience in advancement, data management, or administrative support.
- Proficiency in donor databases and CRM platforms (experience with Raiser’s Edge and Veracross is a plus).
- Strong attention to detail and accuracy in data entry and reporting.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Experience coordinating meetings and mailings preferred.

The St. Paul’s Schools has a compensation scale based on direct years of experience and degree held. For this opportunity, our salary range is $43,000 to $57,000 annually. Candidates with additional experience or qualifications may be offered a salary outside of the range shown.
