The St. Paul’s Office Administrator ensures smooth operation of the church office and administrative functions in support of the church’s leadership.
The St. Paul’s Office Administrator is responsible for managing the day-to-day administrative operations of the church, including tasks like preparing weekly worship presentations and bulletins, managing church records in PowerChurch, handling communications including Constant Contact, and serving as the primary point of contact for the congregation.
The Office Administrator will work collaboratively with the pastor, lay leaders, the church community and its partners as needed to help advance our shared ministry. This staff member’s focus will be office and program support tasks. We expect them to act with initiative, to multitask, and to meet deadlines. The Office Administrator will be expected to maintain confidentiality of sensitive information.
The Office Administrator should have experience in similar administrative support roles and a willingness to work within the unique aspects of church life. Digital literacy is essential, including familiarity with social media, graphic design, and web site maintenance. Basic skills with word processing and presentations are desired. Strong written/verbal communication and organization skills are required. We value adaptability, reliability, and attention to detail.
The Office Administrator responsibilities are:
- Format and print weekly bulletin and inserts using Microsoft Word.
- Format weekly worship slides using PowerPoint.
- Maintain membership database and weekly giving.
- Print and prepare seasonal mailings as needed.
- Organize and purchase office supplies and church resources as needed, including postage.
- Manage copier maintenance including toner supply and quarterly reporting.
- Pick-up mail from PO Box and sort, open, and distribute as needed in a timely manner.
- Manage church email account.
- Prepare weekly newsletter with Constant Contact.
- Help maintain church website and social media accounts.
- Prepare and distribute monthly volunteer schedules.
- Share communications with church leaders in a timely manner.
- Maintain and update monthly church calendar.
- Answer phone calls and field messages.
- Communicate and schedule with subcontractors.
- Manage and troubleshoot office apps: internet, internet phone, and security cameras.
- Keep current and organized computer files and drawer files.
- Maintain confidentiality.
- Perform all duties and tasks in compliance with the St. Paul’s United Church of Christ Personnel Policy.
Background checks are required of all staff to fulfill the Safe Church Policy.

Part Time Position: 20 hours per week; onsite, Monday – Friday, 9 am – 1 pm. Starting pay is $19-21/hour based on skills and experience. There will be 10 days paid vacation and 5 days paid sick leave. No other benefits included.
Responsible to: Pastor, and council leadership with pastor’s supervision.
