Job Summary
We are seeking an administrative assistant with strong organizational and communication skills, proficiency in Microsoft Office programs, an ability to learn other programs, and the ability to manage a Facebook account.
Receptionist Duties:
- Greet visitors.
- Answer the telephone.
- Open and sort mail.
Secretarial Duties:
- Check and respond to emails.
- Serve as administrator of the St. Paul’s Facebook page.
- Create publications, such as weekly bulletins, monthly newsletters, posters for events, sign-ups, etc.
- Update the north, west, and basement (by AA room) bulletin boards.
- Ensure that the website is current (Send posters, newsletters, etc. to pastor for him to post).
- Proof the PowerPoint presentation for Sunday.
- Supply and straighten the tables in the narthex and the table outside the office.
- Sort and distribute devotional materials (bi-monthly, Advent, and Lent).
- Maintain records for Charge Conference and year-end reports (attendance, etc.).
- Oversee Easter lily, poinsettia, and palm branch orders.
- Provide clerical support for Sunday School, Vacation Bible School, and committees.
- Provide clerical support for pastor and as directed by pastor (letters, postcards, etc.).
- Update membership secretary of any work needed from her.
- Maintain the membership database.
- Maintain files.
- Order supplies for the office.
- Send out a weekly mailing for homebound members and friends.
- Send reminders to worship assistants and committees.
- Maintain church calendar.
- Communicate with musicians and custodian as needed.
- Recruit volunteers for ministry tasks, as needed and directed by the pastor.
- Complete other duties as assigned.
Administrative Duties:
- Work with pastor to obtain, create, and assemble Charge Conference reports.
- Work with pastor to obtain, create, and submit Year-End Reports.
Financial Duties:
- Accept payments for Bible study books, poinsettia orders, Easter lily orders, etc., and provide receipts, if desired.
- Put money received in person or via the mail in the safe for the financial secretary.
- Maintain petty cash.
- Prepare and mail the stewardship mailing.
- Code bills and deliver to Burkhardt & Dawson twice monthly.
- Prepare stipend requests and deliver to Burkhardt & Dawson once a month.
- Inform financial secretary and Burkhardt & Dawson of upcoming special offerings.
- Request checks from Burkhardt & Dawson for special offerings, bulk mail permit, etc.
- Pick up checks from Burkhardt & Dawson, and distribute as needed.
- Serve as liaison between Burkhardt & Dawson and committee chairs and pastor.
Job Type: Part-time
Expected hours: 20 – 25 per week
