Church Administrator Job Description
Position Title: Church Administrator
Location: St. Peter's Episcopal Church, Texas
Reports to: Rector
Position Summary:
The Church Administrator is responsible for managing the day-to-day operations of St. Peter’s Episcopal Church, ensuring the smooth functioning of all administrative, clerical, and operational aspects of the church. This role requires coordination with the clergy, vestry, staff, volunteers, and external vendors to maintain the church’s activities and facilities.
Qualifications:
Strong organizational skills with attention to detail.
Proficiency in office software (e.g., Microsoft Office, Google Suite) and church management systems (Servant Keeper). Computer skills are mandatory.
Excellent communication skills, both written and verbal.
Ability to manage multiple tasks and priorities efficiently.
A commitment to confidentiality and discretion.
Familiarity with Episcopal liturgical practices is a plus.
Key Responsibilities:
1. Administrative Support:
o Assist in preparing and printing weekly worship bulletins, service sheets, and special services in coordination with the rector and music director.
o Process payroll, reimbursement forms, and other financial documents for approval and payment.
o Update and maintain church calendars, ensuring no scheduling conflicts for building usage.
o Attend weekly staff meetings and vestry meetings.
o Answer phone calls, emails, and messages promptly.
2. Financial Duties:
o Prepare Collection Plate Signature Sheets and manage offering deposits.
o Count and record weekly offerings with a church volunteer, making bank deposits.
o Enter financial data into the church's database system, Servant Keeper.
o Monitor church credit card usage and manage bill payments.
Assist with the creation of quarterly pledge donation statements and the year-endbServant Keeper contribution reports.
o Assist Bookkeeper to ensure all payments, including payroll and vendor payments, are made in a timely and accurate manner.
o Manage the Columbarium accounts and spaces.
o Work with the Endowment Trust Chair to distribute financial reports and manage related documents.
3. Communication & Correspondence:
o Coordinate with the newsletter compiler to handle printing and mailing logistics.
o Manage correspondence for parishioners, including memorial notices, new member registrations, and event notifications.
o Periodically update the church’s voicemail and exterior signboard.
o Serve as the Clerk (Secretary) for the Vestry, taking and distributing meeting minutes.
4. Event & Service Coordination:
o Support the Rector by coordinating special church events such as baptisms, weddings, memorials, and receptions. Ensure proper certificates are issued and registered in the church archive.
o Manage seasonal orders for Ash Wednesday ashes, Palm Sunday palms, Easter lilies, and Christmas poinsettias.
o Assist in preparations and participation for annual events like the Annual Parish Meeting, Vestry elections, and stewardship campaigns.
5. Facility Management:
o Order supplies for the church (e.g., communion wine, candles, coffee) and ensure inventory is stocked.
o Support the Junior Warden with maintaining the building and facilities, including coordinating with vendors for cleaning, repairs, lawn service, and routine maintenance.
o Provide oversight of facility rentals, ensuring that parishioners and outside groups have access to the church facilities as needed.
6. Records Management:
o Maintain up-to-date records in Servant Keeper and written archive books, including membership, baptisms, confirmations, marriages, and other significant church milestones.
o Manage all aspects of the Columbarium, including sales, records, and ordering memorial plates.
Ensure proper documentation is filed with the diocese for annual reports and stewardship efforts.
7. Safeguarding and Compliance:
o Serve as the Safeguarding Administrator, maintaining records for Safeguarding God’s Children and ensuring all staff and volunteers are compliant with diocesan policies.
Additional Duties:
Support parishioners with altar flower orders and coordination with the florist.
Work Schedule:
This is currently a part-time position 20-25 hrs. per week with infrequent evening and weekend work required for meetings and special events.
