Summary:
Reporting to the Supervisor of Compliance, the Policy and Procedure Analyst is responsible for producing effective written communication on FJV’s policies, procedures, and guidelines. The Policy and Procedure Analyst will work with department and program leads as well as, other internal stakeholders to analyze, recommend, author, and deliver high-quality documentation such as procedures, manuals, job aids, and forms to help ensure a consistent process for all FJV staff.
Essential Functions:
- Develop documents to help maintain an effective set of policies, procedures, and work instructions consistent with program, contract, and organizational guidelines.
- Develop a framework to ensure all departments are on target with their mandatory policy and procedure deadlines and annual reviews.
- Collaborate and meet with department and program leads to analyze business processes to determine policy, procedure, and work instruction requirements.
- Conduct research and review documents to identify gaps in documentation.
- Stay informed about all Code of Federal Regulations (CFRs) and update policies and procedures as changes occur.
- Keep up to date with policies and procedures across all departments.
- Assist in developing documentation requirements for new or changing business processes.
- Analyze the effectiveness of documentation and recommend improvement opportunities to management.
- Prepare updates, briefs, or manuals for policy distribution, along with the procedures for implementing these changes.
- Support the internal introduction and training of company policies to staff members in person and online.
- Work closely with the Compliance Department on strategies related to growing the team
Qualifications:
- Bachelor’s degree or equivalent work experience. Master’s Degree in Business, English, or Social Services preferred.
- Experience with business writing, including publishing, and expertise in documenting business policies and processes.
- Experience with technical writing.
- Experience with Microsoft Office, including Word and Excel, and SharePoint.
- Prepare and present PowerPoint presentations.
- Knowledge or experience with intranet and/or SharePoint portals.
- Experience communicating effectively, verbally, and in writing, with employees at all levels of Father Joe’s Villages.
- Project management skills.
Knowledge, Skills & Attributes:
- Strong interviewing and listening skills.
- Knowledge of the Compliance and Operations environment to ensure that new policies, policy changes, and policy maintenance are consistent with operational requirements.
- Knowledge of regulatory laws, specifically working directly or indirectly with Compliance, Legal, Fiscal, Programs, and operational teams.
- Ability to take complex or multi-stepped procedures and prepare in a simple, clear format.
- Ability to anticipate situations or questions at every organization level in response to a new policy or procedure.
- Ability to manage updates/revisions to ensure accuracy and relevance.
- Excellent organizational, written, and verbal communication skills.
- Prepare and present PowerPoint presentations.
- Time management/ability to perform comfortably in a fast-paced, deadline-oriented work environment
- Able to work and collaborate in a team environment, as well as independently.
- Maintain confidentiality of confidential/sensitive information.
