Executive Assistant to the CEO

Role Overview : As the Executive Assistant to the CEO, you will serve as the right hand to the CEO, managing a variety of high-level administrative and logistical tasks. This role requires a confident, self-driven professional with a background supporting C-suite executives, and a knack for handling complex scheduling, travel, and communication demands. You’ll be in the room with the CEO, supporting decision-making and ensuring the seamless operation of the executive office.
Key Responsibilities :
Executive Support : Act as the primary liaison between the CEO and internal / external stakeholders, including clients, partners, and senior leadership. Manage the CEO’s calendar and ensure seamless coordination of meetings, calls, and events.
Logistical Coordination : Oversee all travel arrangements, including flights, accommodations, and transportation, while anticipating the CEO’s needs to ensure efficiency and comfort. Organize and manage high-level events, both internal and external.
Communication Management : Draft, proofread, and manage communication on behalf of the CEO, ensuring all materials are clear, professional, and timely. Screen incoming communication, prioritizing urgent matters and delegating appropriately.
Confidentiality & Discretion : Handle sensitive information with the utmost confidentiality and integrity, balancing competing priorities with diplomacy and discretion.
Strategic Planning Support : Assist with strategic initiatives, tracking progress, preparing reports, and facilitating the CEO’s involvement in key decision-making processes.
Operational Efficiency : Take initiative in improving processes and workflows to increase the effectiveness and efficiency of the executive office, anticipating needs and taking proactive action.
Cross-Functional Collaboration : Work closely with other departments and teams to ensure smooth operations and assist with projects that require the CEO’s attention.
Key Qualifications :
A minimum of 8 years of progressively responsible experience supporting C-suite executives, ideally in the for-profit, private sector / corporate space.
Exceptional Communication Skills : Proven ability to communicate effectively, both verbally and in writing, with internal and external stakeholders at all levels.
Degree Preferred : A bachelor’s degree is highly desired, particularly in business administration, communications, or a related field.
Strong Organizational & Logistical Expertise : Expertise in managing complex schedules, travel arrangements, and other high-stakes logistics with precision.
Confidence & Poise : A professional who is comfortable working in fast-paced environments, able to manage competing priorities and handle high-pressure situations with grace.
Discretion & Integrity : Experience handling confidential matters with tact and a strong sense of professionalism.
Proven Leadership & Team Support : A collaborative mindset with the ability to work autonomously and as part of a dynamic team.
