Assistant Maintenance Coordinator
The Assistant Coordinator will work closely with the Account Managers to take maintenance work orders from conception to completion. This individual will monitor the work of our in-house technicians and subcontractors on jobs daily in real time. This individual must have the mechanical aptitude to learn and understand the work done across several trades such as plumbing, electrical, and remodeling. Confidence and professionalism are essential for resolving any issues that may arise involving pricing and/or quality of work while maintaining relationships with clients and contractors.
Role and Responsibilities
- Work directly with in-house technicians and subcontractors checking in and out of jobs and updating clients in real time.
- Procure materials needed to complete work orders, either by directly purchasing or approving purchases by technicians and contractors.
- Ensure labor is allocated complete work in our client’s time frame and budget, immediately informing the client if any variation occurs.
- Create purchase orders each time a subcontractor is dispatched and ensure the terms are understood and adhered to.
- Follow up with contractors to collect required documents such as notes, photos, quotes and invoices.
- Enter photos and notes into multiple systems.
- Enter proposals and invoices into client platforms.
- Record labor and material expenses and process receipts/invoices on each job.

Qualifications
- A minimum of 1-2 years’ experience in construction, maintenance, or project management.
- Must be able to work independently, take ownership and responsibility for all work done with attention to detail.
- Must be highly proficient with computers and have experience with Microsoft Office including Excel and Outlook. QuickBooks a plus.
- Must be able to identify and source materials across several trades.
- Must be able to pass a pre-employment background check and drug screen. Non violent crimes accepted
- Must have reliable transportation to/from work.
- High School diploma/GED or trade school equivalent.
- Pay is 13-16 hrly
