Job Overview of Payroll Specialist:
The Payroll Specialist is responsible for accurately and efficiently processing payroll, ensuring compliance with company policies and regulatory requirements. This role requires strong attention to detail, problem-solving skills to resolve payroll discrepancies, and the ability to collaborate with employees and management to address payroll-related inquiries. The Payroll Specialist plays a key role in maintaining accurate payroll records, supporting key operational processes, and providing excellent customer service to ensure smooth payroll operations.
Key Job Responsibilities of Payroll Specialist:
· Complete and process weekly payroll in accordance with company policies and regulatory requirements.
· Collect, review, and monitor employee daily timesheets for accuracy and completeness.
· Utilize strong customer service skills to effectively address employee inquiries regarding payroll, deductions, and related concerns, providing clear and timely resolutions.
· Maintain payroll reconciliations for each pay period.
· Update and manage pay rate, union, and other payroll-related tables in the payroll system.
· Process payments for payroll taxes, 401(k), FOC, HSA, union dues, and other payroll-related deductions.
· File and retain payroll-related reports and documents as required for audits and
· compliance.
· Partner with various departments to verify employee records, proactively identify
discrepancies, and implement solutions that enhance payroll accuracy and efficiency.
· Safeguard confidential payroll information and ensure compliance with document retention policies.
· Identify and implement process improvements to enhance payroll efficiency.
· Stay updated on payroll regulations and best practices to ensure compliance and accuracy.
Required Knowledge, Experience, Skills, and Abilities of Payroll Specialist:
· Required 3 years payroll experience.
· Prior experience working with an ERP or automated accounting system is a plus.
· Excellent verbal and written communication skills.
· Knowledge of time and attendance and payroll concepts.
· Union or construction industry experience preferred.
· Excellent data entry skills with the ability to analyze, solve problems and make decisions.
· Ability to meet time-sensitive deadlines.
· Ability to balance multiple priorities and meet deadlines in a fast-paced environment.
· Ability to work independently as well as in a team-oriented environment.
