Job Summary:
Stages of Change, L.L.C., a Mental Health Rehabilitation (MHR) agency, is seeking a highly organized, professional, and proactive Office Assistant/Personal Assistant to support the Executive Director and administrative team. The ideal candidate will have a degree in business administration, psychology, social work, or a related field and experience in office administration, scheduling, and confidential document management. This role requires excellent communication, multitasking, and problem-solving skills, along with a strong ability to maintain discretion in a fast-paced mental health environment.
Key Responsibilities:
Administrative & Office Management:
Manage daily office operations, including scheduling, correspondence, and document preparation.
Oversee client intake paperwork, ensure compliance with agency policies, and maintain confidentiality.
Organize and maintain physical and electronic files for personnel, clients, and agency records.
Handle office supply inventory, equipment maintenance, and general office organization.
Coordinate meetings, trainings, and events, including preparing agendas and taking minutes.
Personal Assistant to Executive Director:
Manage the Executive Director’s calendar, schedule appointments, and coordinate travel arrangements.
Screen and respond to emails, calls, and messages on behalf of the Executive Director.
Assist in drafting reports, presentations, and correspondence.
Serve as a liaison between the Executive Director and internal/external stakeholders.
Compliance & Support for Mental Health Services:
Ensure timely completion and organization of required state and Medicaid documentation.
Assist in coordinating staff training and maintaining compliance with licensing requirements.
Support HR functions, including onboarding new employees and tracking credentials.
Maintain client confidentiality and uphold HIPAA regulations at all times.
Qualifications & Skills:
Education: Bachelor’s degree in Business Administration, Psychology, Social Work, or a related field (required).
Experience: Minimum of 2 years in an administrative or personal assistant role, preferably in a healthcare or mental health setting.
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and electronic health record (EHR) systems.
Ability to handle confidential and sensitive information with discretion.
Professional demeanor and ability to interact with clients, staff, and stakeholders in a mental health environment.
Preferred Qualifications:
Experience working in a mental health or social services agency.
Knowledge of Medicaid documentation and compliance requirements.
Familiarity with medical or mental health terminology.
