SCOPE OF POSITION:

The Data Technology Specialist will be responsible for collecting, entering data reports into the Head Start data base program.

SUPERVISION: The Data Technology Specialist will work under the supervision of the Standing Rock 0-5, Director who will provide guidance, direction and conduct performance evaluations.

DUTIES AND RESPONSIBILIES:

  • Compile data and system for tracking information collected from children and families and enter data into the Head Start data base.
  • Content area data for funded enrollment in the Head Start, Early Head Start and Home-base program.
  • Generate a monthly report for the Director, managers and policy council.
  • Establish a data tracking system for all waiting list applications, generate a monthly report on all completed and waiting list applicants from Head Start, Early Head Start and Home base program.
  • Complete the annual Program Information Report (PIR) for the Head Start and Early Head Start Programs then generate the data report for programmatic use.
  • Input all the data that is collected from the Head Start, Early Head Start and Home base program’s enrollment application packets then input into a data base program. This includes demographics, annual income, immunization, physicals and all other family and child information that is required by law.
  • Establish a tracking system attendance records for Head Start, Early Head Start and Home base programs to ensure the program meets the 85% attendance rate set by the Head Start Program Performance Standards provide a copy to the Director.
  • Input all the data from the in-kind, donations, resources and volunteer hours received from Head Start, Early Head Start and Home base programs and provide a copy to the Director on a monthly basis.
  • Input all health related data into a data base system: health screenings, vision screening, hearing screenings, child’s physical examination, child’s immunization, dental screenings and each areas follow-up examinations. Provide a monthly report as needed.
  • Input the Individual Education Plans, Individual Family Service Plans, and Family Partnerships, Mental Health assessments, developmental assessments for the Head Start, Early Head Start and Home base program provide a monthly report.
  • Exercises supervision of the Family & Community Partnership Manager, provides guidance, direction and conducts performance evaluations.
  • Complete the USDA food program report on a monthly basis Head Start, Early Head Start and Home base programs and provide a copy to the Director on a monthly basis.
  • Implement an employment data base system this will track each employees date of employment, annual physical examinations, annual TB screenings or chest X-ray, First Aid-Cardio Pulmonary Resuscitation (CPR) dates, Food Handlers Certification, Commercial Driver’s License with School Bus Endorsement (CDL) date, Driver’s License date, Vehicle Insurance date, Employee Performance Evaluation dates, Annual Evaluations, Professional Development Plan date and hours, College Degree- Certification date, GED-High School Diploma date, Child Development Associate degree date, Standard of Conduct and Confidentiality policy, Child Plus form date. Will provide a monthly report to the Director and follow-up with each employee through memo form that they need to update before their next due date.
  • Track the following training hours for each employee: Tribal Policies and Procedures, Insurance Benefits, Bus Driver Monitoring, Child Abuse-Neglect Awareness, CLASS, CCACF Cooks Training, Developmental and Mental Health Assessments, Father Initiative, Autism, Classroom Management, Family Engagement, School Readiness and other required training as needed.
  • Track and provide a monthly report on training hours of each employee in the Head Start, Early Head Start and Home base program and provide a monthly report to the Director.
  • Meet with the Health/Nutrition/Mental Health Specialist on a monthly basis to review all health data on each child to ensure compliance.
  • Complete monthly reimbursement USDA Food Counts and provide to the Health/Nutrition/Mental Health Specialist to be sent off to the appropriate agencies.
  • Provide weekly coded waiting list stating how many applicants are on the waiting list and from what centers are they waiting to get into for the entire 0-5 Program to the Head Start Director and Family Community Partnership Manager.
Complete the data reports for the Annual Report and assist with the annual Community Needs Assessment and Self-Assessment data reports.

QUALIFICATIONS:

  • Two (2) year degree in Computer Technology, Office Technology, Office Systems, Business Administration or related field with two (2) years’ experience in data or information systems management or supervisory capacity.
  • Working knowledge of computer operation and software applications
  • Understand and carry out both verbal and written instructions and request clarification when needed.
  • Three (3) references which include former employers
  • Verification of current physical and TB skin test prior to employment.
  • Must pass criminal record check at the Federal, State and/ or Tribal level.
Must possess valid driver’s license.

JOB REQUIREMENTS:

  • Demonstrate proficiency and knowledge in computer hardware, software applications utilized in data entry and data management.
  • Sign a confidentiality agreement and adhere to the Head Start Standards of Conduct.
  • Strong work ethic and organizational skills with special attention to detail and ability to operate under pressure and stress.
  • Excellent customer service skills and demonstrate professionalism; maintain tact, courtesy, composure and flexibility when dealing with a variety of personalities.
  • Establish and maintain effective working relationships with co-workers and funding agency.
Independent thinking in relation to program requirements, with the ability to work independently and meet deadline requirements.
