Step into an instrumental role. Help conduct the smooth operation of a fast-paced—and friendly—financial planning office. Work as an employee of an independent advisor franchisee with a private wealth advisory practice of Ameriprise Financial. Assist in daily business operations. Assist financial advisor and associate financial advisor in managing and organizing office workflow with an emphasis on creating and delivering a unique client experience that defines and differentiates the practice.

Our Team: Our practice is led by two full-time financial advisors (one is the franchise owner with 25-years’ experience in the practice, the other an equity interest holder with practice for over 8 years). Other team members include: full-time paraplanner of almost two years, virtual/remote assistant, and our receptionist works with us and two other practices in our suite. We serve ~300 households across 25 states, desire to stay small by design, but grow with our next best-fit teammate and strategically serving more clients matched with our services and expertise.

Your Role: We are looking to expand our team with a dedicated Client Service Manager, full-time position preferred, though could work with a tailored schedule of core hours for no less than 30 hours per week. This role provides client relationship support through interacting directly with clients to ensure accurate account set up and through acting as a liaison to answer client questions. The role will also perform other practice management tasks relating to client service as needed. Responds to ad hoc requests, coordinates/tracks projects and/or manages business-as-usual projects such as ensuring financial planning relationships are fulfilled each year, as an example. Responsibilities and time allocation will change over time to meet the needs of the practice and can include other duties as assigned by the advisors.

Securities Series 7 & 66 licensing is not a requirement but would be a plus (or a professional development option for the future). Other key traits for this role include: attention to detail and organization, effective and efficient time management, polite and clear phone manner, ability to multi-task, adhere to rules and regulations as stated and required by advisor, Ameriprise Financial, and support and provide guidance for compliance within the advisor’s practice with a positive attitude and sincere willingness to constantly learn and grow! This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when interacting with clients, team members, colleagues and corporate partners.

Four-year bachelor’s degree preferred (business/finance/economics or related field would be a best match), though we will explore candidates with extensive experience, too. Candidates with operations support/management, human resources, accounting, banking, legal and/or other professional industry background may also enjoy using skills in a financial planning practice environment.

Client Care – 75%

  • Fielding incoming calls from clients, triaging and managing inbound client-service related emails and texts, working with paraplanner and advisors for resolving requests as they arise, and in most cases delivering the communication to the client for such resolution.
  • Maintain client management system.
  • Write emails, texts, and letters to clients on letterhead of administrative nature only.
  • Assist with conducting transaction requests (unlicensed in nature only) as directed by financial advisors and paraplanner.
  • Internal forms and paperwork processing support, including updating client with progress when directed by team.
  • Managing small batch and mass emails as directed by the team.
  • Supporting our paraplanner in calendar and schedule management (contacting clients or prospects to set up meetings or appointments and answering unsolicited calls/emails from prospects to schedule appointments).
  • Attend and participate in client service meetings if necessary.

Marketing Support – 25%

  • Updating our websites with pre-approved and custom content.
  • Scheduling social media posts for Facebook and LinkedIn pages from pre-approved and custom content and administering the Ameriprise Marketing on Demand (email) system.
  • Supporting our paraplanner in current events planned for remainder of year (and taking over majority of the role in the following year). We hold a client appreciation event, as well as other events and seminars.
  • Prepping a few mailings throughout the year for execution by our receptionist.
  • Arranging for client life event gifts and other recognitions throughout the year
  • Assisting franchise owner advisor with various projects including networking and other client events with Centers of Influence (COIs) such as attorneys, CPAs, and the like. This part of role to be developed as position progresses.

Salary – $50,000 - $65,000 starting, commensurate with experience and other factors.

Bonus incentives and/or discretionary profit-sharing year-to-year.
