Job Summary
Stark County is seeking a skilled Application Specialist to support the implementation and configuration of the JWorks Case Management System (CMS). This role is essential to our court technology transformation, ensuring seamless customization, integration, and deployment of JWorks in accordance with our project’s Statement of Work (SOW). Working under the guidance of the CMS Project Manager within the IT Center (ITC), the Application Specialist will configure and test various system elements, manage system adjustments, and ensure alignment with end-user needs and county standards.
Key Responsibilities:
- System Configuration & Testing: Lead the configuration of case, name, financial, judicial, general, security, and eServices components in the JWorks CMS. Customize and adjust the system based on county requirements.
- User Interface (UI) Customization: Modify and test UI elements such as screen layouts, dashboard views, and user-defined fields to meet department-specific needs.
- Workflow & Code Automation: Develop and configure workflows and automation rules to streamline processes, ensuring efficient data entry, document management, and user interactions.
- Data Analysis and Migration Support: Assist with data mapping, migration, validation, and curation to ensure accurate and complete transfer of legacy data into the new system as well as refining data structures post-go-live to enhance system efficiency.
- Document Template Implementation: Customize document templates based on specific court requirements, including forms, receipts, motions, and other legal documentation.
- Integration Support: Collaborate with interface developers to ensure proper integration with external systems, as outlined in project specifications.
- User Acceptance Testing (UAT): Coordinate with county departments to prepare and execute comprehensive UAT plans. Identify any configuration adjustments necessary for system optimization.
- Training Support: Assist in developing training materials and delivering end-user training as needed to facilitate a smooth transition to JWorks.
- Issue Resolution: Troubleshoot and resolve issues arising during configuration, testing, or go-live phases, working closely with the CMS Project Manager and equivant support team.
- Post-Go-Live System Support and Optimization: Provide continuous support and enhancement of the JWorks CMS, ensuring system stability, addressing evolving user needs, and identifying opportunities for process improvement even after initial deployment.
- Long-Term System Administration and Adaptation: Maintain, configure, and adapt the CMS as business requirements evolve, performing regular audits, updates, and user training to sustain optimal functionality throughout the system's lifecycle.
Qualifications:
- Education: Bachelor’s degree in Information Technology, Computer Science, Business Administration, or a related field. Equivalent experience will also be considered.
- Experience: 3 years of experience in system configuration, implementation, or administration, preferably within a CMS or similar legal/court system environment.
- Technical Skills:
- Proficiency in system configuration, workflow management, and UI customization.
- Familiarity with document and code automation, interface configuration, and database management.
- Experience with SQL and other database technologies for configuration and data mapping (preferred).
- Soft Skills:
- Strong problem-solving skills with a proactive approach to issue resolution.
- Excellent written and verbal communication skills for end-user training and stakeholder collaboration.
- Detail-oriented with an ability to document and follow complex configuration and implementation procedures.
Preferred Qualifications:
- Previous experience working with Courtview, JWorks, or a similar CMS.
- Knowledge of Ohio's court processes and regulations.
- Experience in a multi-agency or countywide IT governance structure.
