What are the responsibilities and job description for the Office Assistant position at Stark Reagan?
The Office Assistant, within the framework of firm policies, is responsible for copying, faxing, collating, and assembling documents, answering telephones.
Reporting Relationship: The Office Assistant shall report and be responsible to the Office Administrator. This person will work closely with the Attorneys, Administrator, the Legal Secretaries and the Receptionist as required in performing certain duties.
Specific Duties:
· Run photocopies as requested by firm staff which includes large copy projects or other assignments placed in Work Box and to complete tasks in a timely manner;
· Send faxes as requested by firm staff and deliver received faxes;
· Process closed files (both upstairs and downstairs) including retrieval of files or documents;
· Telephone relief for the receptionist as needed (lunch and breaks),
· Maintain kitchen housekeeping daily, to include:
1. coffee preparation
2. coffee, pop, water, etc. setup for conferences as requested by staff
3. dishwashing (loading and unloading dishwasher)
4. table cleaning (kitchen and conference rooms)
5. general housekeeping;
· Run mail through postage;
· Sort and deliver mail to staff promptly;
· Library filing; and
· Occasional deliveries for attorneys, staff and clients as required;
· Take initiative to seek assignments from staff during slow periods.
Job Type: Part-time
Pay: From $14.00 per hour
