What are the responsibilities and job description for the Executive Assistant position at Starlight Theatre?
Starlight is seeking a supportive and proactive “Star” to join our team as Executive Assistant! This will be a full-time, salaried position that will work year-round.
Starlight’s Executive Assistant is a key utility role supporting Starlight’s President CEO as well as general office management and administration, including significant external communication with key Starlight stakeholders.
Required Accountabilities & Deliverables:
- Executive support including scheduling, document preparation and processing, and communications.
- Office management including meeting space coordination, set-up/clean-up, supply procurement, daily guest reception and hospitality, staff common space management, mail and package deliveries and drop-offs, phone system management, and recordings.
- Meeting planning to include set-up facilitation for both in-person and virtual meetings, agenda/presentation preparation, notetaking, and follow-up for internal staff and Board/key stakeholders’ events.
- Travel coordination for executives, Board trips, and otherwise upon request- including hotel, e-passes, transportation, catering, etc.
- Employee experience support to include general administrative support of employee recognition, events, and meetings.

Preferred Skills and Abilities:
- Working knowledge of the performing arts/live events industries.
- Strong knowledge of Microsoft applications and aptitude for learning technology systems.
- Strong administrative and organizational skills, including attention to detail/commitment to accuracy.
- Developed ability or aptitude for the creation of presentations, letters, and other communication assets.
- Developed ability to prioritize and balance multiple initiatives.
- Exemplary professional communication skills, both written and verbal.
Preferred Education and/or Work Experience:
- 1-3 years experience in a professional office environment.
- Experience with travel coordination/meeting planning.
Other Working Conditions: This role is primarily administrative/desk-based with a traditional on-site M-F work week schedule and general alignment with Starlight’s office hours- with an expectation to attend night and weekend events as necessary and/or requested on an irregular basis. Due to the nature of Starlight’s business, availability/communication may be required in cases of urgent or emergency matters during nights and weekends. Due to the onsite requirements of the position, this role will be rarely eligible for remote work.
