Key Responsibilities:
- Personal Assistance (Onsite and Offsite): Provide personal support to the CEO and executives, manage personal appointments, and assist with other ad-hoc personal tasks. Facilitate various personal and administrative tasks and activities for the Owner of the Company that may include but are not limited to; transportation needs and act as the liaison with vendors for maintenance and repairs.
- Executive Support: Provide comprehensive administrative support to the COO and C-level executives, including calendar management, meeting coordination, and correspondence.
- Calendaring & Scheduling: Support the management of executives' calendars as needed, assist with scheduling internal and external meetings, interviews, and other appointments. Ensure there are no conflicts and handle all logistical details for meetings (location, time, participants).
- Travel & Accommodation Management: Arrange travel logistics (flights, hotel, car rentals) and ensure seamless travel arrangements for the COO and other teammates when needed.
- General Office Administration: Support the office tasks including office supply inventory, deliveries, and general office supplies. Support the efforts to ensure common areas remain organized and stocked, though this will be a secondary priority.
- Confidentiality & Discretion: Handle sensitive information with utmost confidentiality and professionalism, ensuring privacy for all parties involved.
Qualifications:
- Bachelor's Degree preferred
- 0-1 year of experience in an administrative or support role
- Valid Driver’s License
- Advanced knowledge of Microsoft Office (Excel, Word, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Highly organized with exceptional attention to detail
- Strong time management skills with the ability to prioritize tasks effectively
- Demonstrated initiative and the ability to work independently when necessary
- Comfortable managing confidential information with discretion
- Excellent interpersonal and hospitality skills with a sense of urgency
Additional Skills (Preferred):
- Ability to adapt quickly to changing priorities and demands
- Previous experience supporting senior-level executives or a fast-paced office environment
- A proactive and resourceful mindset with a can-do attitude
