Position Summary

Under the supervision of the Registered Nurse- Head Nurse Oversight, the CMT operates as a key link between medical and administrative support. The CMT ensures that all patient flow is undisturbed and consistent with the clinic’s overall performance and requirements at any of the 7 MATP programs.

Responsibilities

  • Maintains the integrity of patient’s medical records, assuring all pertinent information is contained in the patient’s chart.
  • Schedules patients for medical services and all follow up and next visits, such as PPD readings. While streamlining the patient flow in medical waiting area. Keeps track of cancellation/re-scheduling of appointments to ensure completion of required recertification, physical or reinstatement.
  • Obtains referrals to specialists and imaging services (Radiology, MRI, etc.) with a referral number according to the doctor and appointment date.
  • Obtains pre-authorization for medications for pharmacy and other services from insurance carrier.
  • Review of patient’s healthcare eligibility in ePaces.
  • Confirm patient’s HMO (Health Maintenance Organization) are in both ECR (10e11) and EMR (eCW) systems.
  • Update patient’s demographics and contact information in both ECR (10e11) and EMR (eCW) so that they match.
  • May assist in the collection of specimen for toxicology and enter patient’s last 3 urine toxicology results in patient’s chart in the EMR (eCW) system.
  • Ensures that all applicable consent forms are signed by patients and uploaded to patients’ records and always maintains patient confidentiality.
  • Assembles any additional medical information e.g Lab work, EKGs, documentation from outside providers etc. in advance of patient contact for ready accessibility to the providers during examination and upload into patient’s chart and always maintains patient confidentiality.
  • Prepares examination room and equipment for provider to see patients.
  • Reviews ICD- codes for each encounter for appropriateness and relevance as it relates to billing.
  • Compiles information from records for periodic statistical reports.
  • Reviews patient records for completeness to ensure that required medical documents and signature/co-signatures of all providers are in place, (ensure encounter is locked).
  • Daily Reconciliation of the EMR (eCW) and ECR (10e11) medical scheduling system.
  • Monitors and ensures that all specimens are “picked up” in the EMR system, packaged and sent to the Lab as ordered.
  • Ensures lab results are received and provided to provider prior to encounter.
  • Demonstrates proficiency in medical procedures such as Phlebotomy, EKG, col­lection of urine and all other specimens under the supervision of the Head Nurse.
  • Perform phlebotomy, EKG and vital signs, enter V/S into patient’s chart in the EMR (eCW) system.
  • Weekly check and balance of Annual Physical Exams (APEs) and Admissions components to ensure completeness on a timely basis .
  • Coordinates with other Certified Medical Technicians and outside clinic staff when necessary medical information is needed from their respective clinics.
  • Assumes an active role to ensure satisfaction of continuous quality improvement standards, to improve productivity, and to reduce denials of reimbursement for the delivery of medical services.
  • Maintains laboratory inventory levels and if necessary, place orders through LabCorp for new supplies.
  • Identifies issues that may arise with the lab or medical equipment and give notification to the Head Nurse. Perform calibration checks to make sure devices are functioning properly.
  • Demonstrates exemplary customer service skills and always displays a high level of professionalism and adaptability.
  • Attends on a punctual basis at least ten (10) medical meetings annually.
  • Attend or participate in at least two (2) professional educational classes or seminar for knowledge expansion and/or professional development annually.
  • Maintains a safe and clean working environment by adhering to safety procedure and regulations.
  • Performs any other duties as assigned by the Registered Nurse-Head Nurse, Clinic Director, Chief of the Medical Unit, Mid-Level provider, Chief Medical Officer and/or Director of Nursing as outlined within the Clinical/Operational Manual, and its amendments or interim changes.
  • Adheres to all START’s policy and participates in all mandatory trainings.
  • Responsible to maintain professional certifications.
  • Acts as back-up to the Administrative Assistant and Front Desk Clerk when needed and performs tasks as directed by the Clinic Director including, but not limited to:
    • Data entry into the Central Registry System Admissions, Transfers, Discharges, Photo ID uploads, dosages uploads.
    • Data entry into the OASAS Client Data System (CDS) for Admissions, Transfers, Discharges, Opioid Annual Treatment Updates.
    • Creation of the patient record in the electronic medical record.
    • Take minutes of meetings.
Qualifications

  • Certified as Certified Medical Technician by the State of New York.
  • High School Diploma or GED.
  • Phlebotomy Certification preferred
  • Computer literacy in MS Office Suite
  • Knowledge of performing EKG (Electrocardiogram), vital signs and medical procedure set-up.
  • Fluency in Spanish a plus.
  • Highly organized with an attention to detail.

Must be able to travel across START organization and must be may be asked to lift up to 50 pounds at times, assisted or unassisted.
