Executive Assistant (Part-Time)


Position Overview:

The Executive Assistant provides focused administrative support to STARTedUP’s CEO, specifically related to outreach and coordination efforts involving school partnerships and legislative caucus engagement. This role is part-time and directly reports to the CEO, supporting critical areas that leverage the CEO’s time effectively and strategically.


Core Responsibilities:

School Relationships Coordination

  • Initiate outreach emails on behalf of the CEO to targeted school administrators (principals and superintendents).
  • Coordinate and schedule meetings between school administrators and the CEO; manage calendar invites and logistics, but attendance at meetings is not required.
  • Send provided follow-up collateral and informational materials promptly after meetings.
  • Maintain and update a detailed tracking spreadsheet for outreach efforts and communication outcomes.
  • Conduct weekly follow-up with school administrators whose teachers have not yet applied to STARTedUP programming.
  • Engage identified teachers via standardized invitation emails to encourage program application or schedule one-on-one meetings with the CEO or programming leads.
  • Serve as the primary administrative point of contact for large-scale recruitment or partnership inquiries from educational partners. Send responses and informational collateral to ensure clear communication channels.
  • Coordinate logistics for school-related speaking engagements and site visits involving the CEO as needed.


Legislative Engagement Administrative Support

  • Manage administrative activities related to STARTedUP's partnership with the Indiana General Assembly, the Youth Innovation and Entrepreneurship Caucus (organizing events and providing educational material to members).
  • Prepare collateral, briefing materials, and mission-oriented documents related to appropriate legislative caucus initiatives.
  • Execute timely follow-ups with Legislative Assistants, ensuring invitations to caucus events are properly managed without placing administrative burdens on the CEO.
  • Maintain an updated database detailing member information, outreach efforts, Legislative Assistants' contact information, and engagement status.
  • Proactively provide relevant materials and information to Legislative Assistants.
  • When practical, attend select Statehouse sessions alongside the CEO to independently gather pertinent information and ensure smooth communication and follow-up.


Administrative & Operational Excellence

  • Participate in weekly coordination meetings with the CEO and Chief of Staff to review outreach progress, strategize project plans, and ensure alignment with STARTedUP objectives.
  • Clearly communicate resource and support needs to the Chief of Staff for optimal role performance.


What This Role Does NOT Include:

  • General management of the CEO’s inbox or unrelated email correspondence.
  • Scheduling appointments unrelated to school relationships or legislative caucus initiatives.
  • General maintenance or updates of the CEO’s overall calendar and schedule outside the stated scope.


Qualifications & Skills:

  • Prior experience providing administrative or executive support, particularly in fast-paced or mission-driven environments.
  • Exceptional organizational and time-management abilities, with a proven capacity for tracking multiple concurrent projects.
  • Excellent written communication skills, demonstrating professionalism and clarity.
  • Strong familiarity with scheduling and coordination platforms (e.g., Google Calendar, Outlook).
  • Comfort managing spreadsheets and data-tracking tools for reporting and analysis purposes.
  • Proactive mindset with the capability to independently manage tasks after initial guidance and training.
  • Ability to handle sensitive information with discretion and integrity.
  • Interest in education, policy, or legislative environments is beneficial, but not required.
