General Position Summary
The Administrative Assistant is a key member of the school’s Front Office team, serving as the first point of contact for students, families, staff, and visitors. This role requires a balance of administrative expertise, strong communication skills, and a warm, welcoming presence. The ideal candidate is reliable, highly organized, detail-oriented, and flexible—someone who thrives in a dynamic educational environment and can efficiently manage multiple tasks in a fast-paced setting. Job Scope & Essential Functions
- Greet and assist students, families, staff, and visitors with professionalism and warmth
- Manage phone and email communication, routing inquiries appropriately
- Maintain accurate attendance records; manage student check-ins/check-outs
- Support students in the clinic and communicate with families regarding health needs
- Provide administrative support to school leadership and faculty
- Assist with preparing documents, forms, and school communications
- Support scheduling of school events, meetings, and tours
- Assist with admissions and enrollment processes as needed
- Step into classrooms when additional support is needed
- Help create classroom materials and organize shared supplies
- Provide assistance during carpool (arrival and dismissal)
- Support end-of-day procedures, including closing the building
- Maintain and restock office supplies and common areas
- Coordinate safety protocols, including visitor sign-in and emergency drills
- Collaborate with staff to support the broader needs of the school community

- Strong organizational and time management skills with attention to detail
- Professional verbal and written communication skills
- Ability to multitask and shift priorities in a dynamic environment
- Comfortable supporting students in a calm, compassionate, and confident manner
- Ability to maintain confidentiality and exercise sound judgment
- Friendly, approachable, and customer-service oriented demeanor
- Proficiency in Microsoft Office and Google Workspace; familiarity with student information systems (e.g., Blackbaud) is a plus
- Willingness to be flexible and assist in various school roles as needed
- Prior experience in a school or administrative setting preferred
- Experience in Montessori or independent school environments is a plus
- Bilingual skills are a bonus
Work Schedule
- This is a full-time, on-site, 12-month role within each academic year.
- Schedule: Monday to Friday, 9:00 AM to 6:00 PM
