General Position Summary

The Administrative Assistant is a key member of the school’s Front Office team, serving as the first point of contact for students, families, staff, and visitors. This role requires a balance of administrative expertise, strong communication skills, and a warm, welcoming presence. The ideal candidate is reliable, highly organized, detail-oriented, and flexible—someone who thrives in a dynamic educational environment and can efficiently manage multiple tasks in a fast-paced setting. They maintain a personable and professional demeanor while contributing to the smooth daily operations of the school and upholding its core values of respect, care, and professionalism.

Job Scope & Essential Functions

  • Greet and assist students, families, staff, and visitors with professionalism and warmth
  • Manage phone and email communication, routing inquiries appropriately
  • Maintain accurate attendance records; manage student check-ins/check-outs
  • Support students in the clinic and communicate with families regarding health needs
  • Provide administrative support to school leadership and faculty
  • Assist with preparing documents, forms, and school communications
  • Support scheduling of school events, meetings, and tours
  • Assist with admissions and enrollment processes as needed
  • Step into classrooms when additional support is needed
  • Help create classroom materials and organize shared supplies
  • Provide assistance during carpool (arrival and dismissal)
  • Support end-of-day procedures, including closing the building
  • Maintain and restock office supplies and common areas
  • Coordinate safety protocols, including visitor sign-in and emergency drills
  • Collaborate with staff to support the broader needs of the school community

Knowledge, Skills, Abilities, and Other Requirements

  • Strong organizational and time management skills with attention to detail
  • Professional verbal and written communication skills
  • Ability to multitask and shift priorities in a dynamic environment
  • Comfortable supporting students in a calm, compassionate, and confident manner
  • Ability to maintain confidentiality and exercise sound judgment
  • Friendly, approachable, and customer-service oriented demeanor
  • Proficiency in Microsoft Office and Google Workspace; familiarity with student information systems (e.g., Blackbaud) is a plus
  • Willingness to be flexible and assist in various school roles as needed
  • Prior experience in a school or administrative setting preferred
  • Experience in Montessori or independent school environments is a plus
  • Bilingual skills are a bonus

Work Schedule

  • This is a full-time, on-site, 12-month role within each academic year.
  • Schedule: Monday to Friday, 9:00 AM to 6:00 PM
