Job Summary
A Legal Support Unit Supervisor is responsible for overseeing and managing a team of legal support staff.
They ensure the efficient and accurate completion of administrative tasks related to legal cases, including document preparation, file management, subpoena research assistance, and communication coordination, while adhering to legal procedures and deadlines.
The Legal Support Unit Supervisor also provides training, performance evaluations, and guidance to their team to maintain high-quality legal support services.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.
Job Duties
Team Supervision: Assign and delegate legal support tasks to team members based on workload and expertise. Conduct performance reviews and provide feedback to staff, identifying areas for improvement and development. Monitor team productivity and address any issues related to quality or efficiency. Provide training and coaching to staff on new procedures, legal terminology, and software applications. Address employee concerns and resolve conflicts within the team.
Investigator Case Management Support: Review and manage legal case files, ensuring accuracy and compliance with legal procedures. Prepare and format legal documents, including correspondence, consent agreements with investigator and attorney supervision. Coordinate communication between attorneys, clients, and other stakeholders.
Administrative Oversight: Maintain accurate records and filing systems for legal documents and case information. Monitor deadlines and ensure timely completion of legal support tasks. Assist in managing the legal support unit budget and resource allocation. Implement and maintain quality control standards for legal support functions.
Collaboration: Collaborate with attorneys to understand legal case requirements. Communicate effectively with other departments within the organization to coordinate legal support needs. Identify areas for process improvement and suggest changes to enhance efficiency.

Knowledge

- Legal Knowledge: Thorough understanding of legal terminology, procedures, and administrative law rules
- Communication Skills: Excellent written and verbal communication skills to interact with attorneys, clients, and other stakeholders
- Organizational Skills: Strong attention to detail and ability to manage multiple tasks with tight deadlines
- Supervisory Experience: Proven ability to lead and manage a team of administrative staff
- Technical Proficiency: Proficiency in legal software applications, document management systems, and Google Office Suite
- Completed or partial completion of Associate degree from an accredited college preferred
- Paralegal or Legal Assistant Certification from an accredited institution preferred
- Familiarity with project planning software and comprehensive database systems
- Ability to engage in positive relations with employees and the public
- Experience in managing multiple projects simultaneously
- Skills in compiling, organizing, and interpreting data
- Experience with administrative law procedures
- Knowledge of federal and state procedural, evidentiary, and administrative law
- Minimum of four years of full-time legal secretary or paralegal work/training
- Experience in managing a support unit in the daily operations
