What are the responsibilities and job description for the Mines Testing Center Coordinator position at State of Colorado?

The MTC hours are 8 am – 5 pm Mondays – Fridays PLUS 5:30 pm – 8:30 pm during Common Hour Exams (about 70 days in a year). Ability to be present, in-person, for day or evening exams is a requirement of this position.
The current posting is for the Common Hour Coordinator shift:
- Common Hour Coordinator: 9:00 am – 5:30 pm during non-Common Hour days (about 177 days in a year) AND 12:30 pm – 9:00 pm during Common Hour Exam Days (about 70 days in a year that occur in February, March, April, September, October, and November)
- 7:45 am Coordinator: 7:45 am – 4:15 pm
- 9:00 am Coordinator: 9:00 am – 5:30 pm
Based on operational need, the shifts of Coordinators may change with advanced notice. All three of the Coordinators will work three weekends in a year: one during final exams at the end of each semester and the other weekend at the start of the school year in August. MTC hours may be modified in the summer and may provide the opportunity for an adjusted work schedule.
Primary Responsibilities
- Print and prepare exam instruction sheets and exams and check students in and out when arriving for testing.
- Communicate with students and faculty to provide training and assistance to those using the Testing Center; explain testing processes and procedures; and resolve testing errors, conflicts, and issues. Maintain and update testing information on the MTC webpages.
- Maintain accurate and detailed records of all information associated with test administration in the Testing Center via AIM and daily and evening spreadsheets.
- Coordinate with faculty to administer paper-based and computer-based exams including planning exam delivery, ensuring MTC has the most up to date exam instructions, and completed exam delivery.
- Participate in hiring, training, and coordinating scheduling for a team of test proctors to ensure consistent and effective administration of accommodated tests.
- Review, monitor, develop, and improve workflows for students using the Testing Center.
- Implement and monitor use of assistive technology in the Testing Center and problem solve hardware and software conflicts.
- Prepare quiz and exam files for text-to-speech software. Provide training for students who have been approved for text-to-speech accommodation.
- Maintain best practices according to National College Testing Association (NCTA) Standards and Guidelines and established Testing Center policies and procedures. Maintain integrity of testing environment by checking student IDs and calculators, reviewing exam instructions (permitted and prohibited exam materials) with students, monitor test-takers throughout testing sessions in-person and via CCTV security camera, secure exam materials and secure the Testing Center according to institutional procedure.
- Maintain confidentiality in compliance with FERPA and make decisions around protecting confidentiality of disability records when communicating with colleagues, staff, faculty, students, and parents.
- Collaborate with the other MTC Coordinator(s) and Associate Director of the Mines Testing Center to revise, develop, or amend testing policies and procedures, budget, and procurement of appropriate technologies.
- Support Disability Support Services during non-busy times at the Testing Center.
Salary and Benefits
$56,000 - $61,100

Minimum Qualifications:
- Bachelor’s Degree. Equivalent and relevant experience may be substituted for a traditional four year degree on a year for year basis.
- Experience with student populations to support student access, development and success.
- Experience working in a work environment with periods of high stress and high volume.
- Proficiency with Microsoft Office products, including Word, Excel, Access, PowerPoint, Publisher and Outlook.
- Outstanding interpersonal and customer service skills; strong organizational skills; ability to multi-task; ability to prioritize and respond to time-sensitive tasks.
- Excellent attention to detail and communication skills, especially during extended high volume periods.
Preferred Qualifications:
- A Bachelor’s degree from an accredited four-year institution in a related field such as education, psychology, special education, or social work
- Experience using data management software.
- Experience working with and/or using assistive technology related to testing for students with disabilities.
- Prior experience in disability services or a testing center at an institution of higher education.
- Familiarity with FERPA and protection of confidentiality of disability records.
- Familiarity with disability laws that govern higher education practices.
- Ability to supervise and train proctors, including organizing, prioritizing, and scheduling work assignments
