The Student Services Department is a vital part of the operations of the Colorado School for the Deaf and the Blind (CSDB). Most staff within the Student Services Department function as direct related services providers as required on identified student's Individual Education Program (IEP). The Student Services Department also oversees the legal and accreditation process for CSDB, including monitoring of student IEPs, school improvement plans, enrollment, student educational and medical records, etc.
The Student Services / Registrar performs the following duties: enroll new students; generate all student data required by State and Federal agencies (including daily enrollment, monitoring and tracking student data), implement CSDB policies related to student eligibility and continued enrollment; provide administrative support to the Director of Special Education and to staff within the Student Services program; monitor and maintain the student data base system (Infinite Campus-1.C.) and ensure all data is accurate and complete; oversee all legal aspects of the Individual Education Program (IEP) process notification and compliance campus-wide; comply with all educational records requests while following Family Education Rights and Privacy Act (FERPA) rules; uploading data and submit as per state reporting requirements.
Duties Include But Are Not Limited To
Calculate and track student enrollment/withdrawals, demographics, average daily attendance in academic and residential areas, graduation/dropout rates, disability reports, student statistics for agency, Colorado Department of Education, school districts and outside agencies. Compile Colorado State Deaf and Blind reports, including the Certification for Eligibility and Input Form. Assist in the completion of the deafblind census annually. Coordinate yearly registration events to include coordinating set up, equipment needs, collaborating with departments campus-wide to ensure all registration needs are met, enroll CSDB students by providing enrollment forms to legal guardians for completion, distribution of enrollment forms to agency departments and continue yearly pre-registration process for incoming students. Process student withdrawals and assure withdrawal completion.
Enter and assures all student registration data is updated on the campus-wide database (IC). Enter transfer credits for high school transcripts. Track student ESY eligibility. Handle phone inquiries regarding new student enrollment, collect required information and paperwork, and coordinate campus visit scheduling in coordination with Special Education Director calendar. Request and document basic information necessary to begin the enrollment process for students at CSDB. Retrieve and copy current student and alumni school records for other school districts, Social Services, colleges, and various agencies adhering to the agency policy and FERPA rules. Monitor and print High School diploma for all school graduates. Other related duties as assigned.
