Introduction

Each of the more than 500 staff who work in the Office of the Attorney General are dedicated to serving all Delawareans with integrity and passion. Deputy Attorneys General, with critical support from criminal special investigators, victim service specialists, paraprofessionals, and administrative staff, prosecute criminal cases, enforce consumer laws, provide counsel to state agencies, ensure the public's access to open government, protect the abused, and much more.

Summary Statement

The Delaware Department of Justice seeks a Legal Administrative Specialist to provide support to Deputy Attorneys General in the Criminal Division, Felony Screening/Case Processing Unit and Grand Jury Unit, in New Castle County. The responsibilities of this position include, but are not limited to, coordinating and working with the FSU Grand Jury Paralegal to ensure cases are processed and submitted in a timely and organized fashion to the Grand Jury. Additionally, the position requires accessing and printing documents from the Criminal Justice Information Services (CJIS) and the Judicial Information Center (JIC), managing multiple calendars, filing, retrieving files related to those calendars and cases in general and maintaining records in the Grand Jury Tracker. This position also requires rotating with other administrative staff at the front reception desk of the Criminal Division. Responsibilities include interacting with the Court and law enforcement, such as scheduling intakes and coordinating the Criminal Motions calendar. Candidates must be detail-oriented, highly organized, and proficient in Microsoft Office Suite. The role demands the ability to multitask effectively while managing high volumes of work and meeting deadlines for Deputy Attorneys General. Professional interaction with the public, including victims and witnesses, as well as maintaining positive working relationships with Court personnel, is essential. Strong spelling, grammar, and proofreading skills are also required.

Essential Functions

Applies agency laws, rules, regulations, policies, and procedures in maintaining and processing agency information. Serves as a liaison with the public, clients, agency staff and others to exchange information and explain agency services, laws, rules, regulations, policies, and procedures. Assures effective coordination of operational functions for assigned unit/attorneys. Arranges for the delivery of legal paperwork. Types correspondence and legal paperwork.� Schedules, coordinates, and confirms court dates, appointments, interviews, intakes, and meetings. Establishes tracking and monitoring systems and conducts follow up to ensure timely resolution of matters. Maintains and controls data and/or filing systems to ensure effective, accurate and easily retrievable legal documentation.

Job Requirements

This class series uses three levels of work in the Administrative Services occupational group, Legal Services occupational series and describes work involving administrative and judicial proceedings regarding civil, regulatory, and/or criminal law. Work involves providing an agency's management staff or professional legal staff of legal support work. JOB REQUIREMENTS for Legal Administrative Specialist I Applicants must have education, training and/or experience demonstrating competence in each of the following areas: 1.\tPossession of an associate degree or higher. 2.\tKnowledge of legal terminology. OR 1.\tOne year of experience in coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. 2.\tOne year of experience in document processing which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. 3.\tOne year of experience in using standard computer software programs for word processing, spreadsheets or databases. 4.\tSix months experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. 5.\tKnowledge of legal terminology.�� JOB REQUIREMENTS for Legal Administrative Specialist II Applicants must have education, training and/or experience demonstrating competence in each of the following areas: 1.\tPossession of a bachelor’s degree or higher. OR 1.\tThree years of experience in coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. 2.\tThree years of experience in document processing which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. 3.\tThree years of experience in using standard computer software programs for word processing, spreadsheets or databases. 4.\tThree years of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. 5.\tSix months’ experience in legal terminology. 6.\tSix months’ experience in interpreting laws, rules, regulations, standards, policies, and procedures.� JOB REQUIREMENTS for Legal Administrative Specialist III Applicants must have education, training and/or experience demonstrating competence in each of the following areas: 1.\tPossession of a bachelor’s degree or higher. 2.\tTwo years of experience: Coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. In document processing, which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. Using standard computer software programs for word processing, spreadsheets or databases. Using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. Preparing legal documents. Interpreting laws, rules, regulations, standards, policies, and procedures. OR 1.\tFive years of employment with the Department of Justice in a similar capacity. OR 1.\tSix years of experience in coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. 2.\tSix years of experience in document processing which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. 3.\tSix years of experience in using standard computer software programs for word processing, spreadsheets or databases. 4.\tSix years of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. 5.\tFour years of experience preparing legal documents. 6.\tFour years of experience interpreting laws, rules, regulations, standards, policies, and procedures.
