Summary Statement
The Delaware Department of Justice (DOJ) is seeking a highly professional and customer-focused individual to serve as the Main Receptionist for its New Castle County offices, located on the fifth floor of the Carvel State Building. As the first point of contact for the DOJ, this role is critical in delivering exceptional service to both internal staff and the public. The position handles a high volume of activity, requiring a proactive approach to greeting visitors, directing calls, and ensuring smooth communication and operations within the office.
Essential Functions
This position involves a high volume of activity and requires delivering professional, courteous, and exceptional customer service to both internal and external callers and visitors of the DOJ. Responsibilities include, but are not limited to, directing visitors and callers to the appropriate DOJ staff, greeting the public in person, and managing telephone communications. Additional tasks include handling incoming mail, facsimiles, and special deliveries, as well as ensuring timely processing and distribution of mail, packages, and deliveries (e.g., UPS, FedEx).�� Administrative duties include typing, filing, data entry, copying, collating documents, and supporting special projects as assigned.�� The primary work hours for this position are Monday through Friday, from 8:00 a.m. to 4:30 p.m.
Job Requirements
The ideal candidate must be detail-oriented, dependable, and possess strong time management skills to effectively prioritize and multi-task in a fast-paced environment. Excellent telecommunication skills, including listening, speaking, and taking accurate messages, are essential. The candidate should maintain a professional and friendly demeanor while calmly addressing concerns, researching issues, and directing them to the appropriate parties for resolution. Organizational skills are critical, along with the ability to keep the main reception area orderly and neat. Proficiency in Microsoft Office Suite (Excel, Word, and Outlook), as well as strong verbal and written communication skills, including spelling, grammar, and proofreading, are required. A working knowledge of professional reception practices and procedures is also necessary.
Conditions of Hire
Criminal background check: A satisfactory criminal background check is required as a condition of hire.� Direct deposit of paychecks is required as a condition of hire. Applicants must be legally authorized to work in the United States.
