Job Description
This position provides fiscal support to the Office of the General Counsel by monitoring expenditures across four organization codes and reconciling associated allotments using FLAIR system reports and Microsoft Excel. The role also involves procuring goods and services through a state purchasing card, MyFloridaMarketPlace, and private vendors while adhering to relevant policies.
Additionally, this position offers administrative and clerical support by preparing and shipping meeting materials for various court committees, as well as preparing and submitting court committee work products for online publication. The responsibilities include drafting and reviewing official correspondence using Microsoft Word and Adobe Acrobat, creating, updating, and linking documents, and tracking litigation cases.
Furthermore, the position involves organizing and participating in conference calls, video meetings, and training sessions, posting judicial election materials online using a vendor-provided system, and maintaining both physical and electronic filing systems. Finally, the role requires arranging travel, including lodging, transportation, and meeting space.
Examples of work:

Provide administrative support to the Office of the General Counsel and various court committees. Organize, staff, and provide materials for meetings, conferences, and trainings; direct inbound telephone calls, emails, and physical correspondence; process mail; arrange travel;

Review records responsive to Requests for Public Records and/or Subpoenas for information confidential and or exempt from disclosure pursuant to Florida Rules of Judicial Administration 2.420;

Process contracts for uploading to the DFS -FACTS system. Provide fiscal support, including reconciling organization code allotments, goods and services procurement, travel voucher preparation and review, and expenditure review; Document and file organization - Electronic and physical receipt, scanning and naming of records per established protocol; create opinion bank; review and disposition of old GC records.

Manage online legal research and legal services contracts; distribute and manage online legal research credentials; monitor contract compliance; and

Perform administrative duties for the Judicial Elections Advisory Committee and assist bi-yearly with the Judicial Campaign Conduct Forum
Education and Training Guidelines
Bachelor’s degree.
Two years of work experience in business administration, office skills, or a related field.
Additional relevant experience may substitute for the recommended educational level on a year-for-year basis.
