Duties and Responsibilities

The incumbent in this position, under the direct supervision of the Chief of the Bureau of Credentialing Services (BCS), is responsible for assisting the Bureau Chief and the BCS management team by researching, compiling, and evaluating information and data related to department policies, personnel issues, system issues, initiatives, and projects. This includes preparing routine and ad hoc tracking, performance monitoring, and other reports, as well as coordinating and preparing responses to information requests from Leadership, customers, HQ units, service providers, and others. The role also involves providing administrative support related to personnel, purchasing, travel, and other administrative activities, such as assisting with hiring and documentation, obtaining vendor quotes, coordinating acquisition of new furniture and equipment for all BCS offices, and organizing BCS management meetings and agendas. Additionally, the incumbent assists with the assessment and leasing of facility sites, coordinating with real estate consultants, landlords, architects, contractors, and internal stakeholders on potential site visits, assessments, plans, timelines, and office moves. The position also serves as the main point of contact for the Driver and Vehicle Information Database (DAVID), coordinating departmental member and outside entity system access, and generating reports and audit information related to system access.

 

Knowledge, Skills, and Abilities

 

  • Skill in verbal and written communication to include proofreading, editing, organizing and developing professional correspondence, forms, procedures, publications, manuals and other documents.
  • Ability to apply customer service, interpersonal skills and communication skills to build effective working relationships with others.
  • Ability to think critically and evaluate operating practices and procedures.
  • Knowledge of the methods of data collection and the ability to collect, compile, verify, and evaluate data for tracking, monitoring and reporting purposes.
  • Ability to plan, organize and coordinate work assignments independently.
  • Ability to understand and apply Florida Statutes and departmental policies governing driver license and motor vehicle laws.
  • Skill using MS Office (e.g., Word, Excel, etc.).

 

Preferred Qualifications

Preference will be given to applicants who have experience:

  • Experience providing face-to-face or telephone-based customer service such as greeting customers, assisting and guiding customers with questions, and/or following up with customers to ensure their needs have been addressed.
  • Experience drafting and composing professional correspondence (e.g., emails, publications, memorandums and/or reports).
  • Experience researching, compiling, verifying and/or evaluating information for tracking, accuracy review, monitoring, process improvement, issue resolution, or reporting purposes.
  • Experience organizing and/or coordinating administrative or operational activities for an office such as personnel, purchasing, travel, scheduling, etc.
  • Experience using Microsoft Office (e.g., Word, Excel, etc.)

 

General Information

  • The elements of the selection process may include a skill assessment and/or oral interview.
  • Applicants being considered for employment will be required to submit to a fingerprint-based background investigation, which will include a check of the criminal history records of the FBI.  Fingerprints and associated information/biometrics will be retained in the FBI’s Next Generation Identification (NGI) system and fingerprints may continue to be compared against fingerprints submitted to or retained by NGI.
  • FLHSMV employees are paid once a month on the last workday of each month.  All state employees are required to participate in the direct deposit program pursuant to s. 110.113 Florida Statutes.
