Your Specific Responsibilities

Duties and Responsibilities

  • The Administrative Assistant III position is responsible for administrative tasks assisting the Executive Community Health Nursing (CHN) Director and the Personal Health Services staff.
  • This position requires a high level of detail-oriented decision making in consultation with the Executive CHN Director.
  • Requires independent work in the coordination of administrative tasks and/or assignments that are complex and diverse in nature.
  • Responsible for answering and responding to multiple phone lines with a large volume of calls
  • Schedules and coordinates work schedules for multiple medical providers
  • Schedules and attends meetings, takes, and transcribes minutes of the meeting.
  • Creates programmatic forms and brochures.
  • Prepares, verifies data and submits various reports for multiple programs to the Executive CHN Director
  • Keeps accurate inventory and orders needed office supplies through the My Florida Market Place system.
  • Prepares and responds to correspondence with attention to detail.

Required Knowledge, Skills, and Abilities:

  • . Knowledge of secretarial and administrative procedures.
  • Knowledge of and ability to utilize office equipment and multiple computer programs.
  • Ability to prepare and maintain records and reports.
  • Ability to work independently.
  • Ability to utilize excellent communication skills, both orally and written

Minimum

Qualifications:

  • 1-3 years’ experience working in an Administrative Assistant or secretarial position
  • Proficient in Microsoft Office
  • Florida Department of Health is required to work before, during, and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs shelter or performing other emergency duties including but not limited to, response to or threats involving any disaster or threat of disaster man-made or natural.
  • Current Florida Department of Health employee

Preferred

  • Experience with answering multiple phone lines with a large volume of calls
  • Experience with preparing and submitting reports
  • Experience with coordinating schedules
  • Knowledge of medical terminology
