Specific Duties & Responsibilities
- Ensure compliance with
- 215.422 F.S., the Reference Guide for State Expenditures, department procedures, Health Insurance Portability and Accountability Act (HIPAA) and other fiscal standards, for the Prepares invoices for timely and accurate payment of the department’s legal liabilities.
- Verify and process entries utilizing Ariba on Demand (AOD/MFMP), Florida Accounting Information Resource (FLAIR), Budget and Accounting Reporting System (BARS), and Axiom Pro.
- Audit invoices for proper certification and authorization to pay; review source documents, such as invoices, purchase orders, vouchers, receipts, requisitions, or similar materials. Identify inaccuracies, such as math errors, missing or inaccurate information.
- Maintain automated files of source documents. Keep invoices in assignment folders updated and organized.
- Monitors daily/weekly invoice and encumbrance reports and takes appropriate action.
- Follow up on outstanding items regularly.
- Analyze vouchers daily to ensure they are current, complete, accurate, and marked “ready for QA” timely in Axiom Pro.
- Review and analyze accounting records including, but not limited to, encumbrances, and payables.
- Provide accounting support to staff, vendors, auditors, and other internal/ and external customers in a timely manner.
- Maintain minimum required Departmental annual training hours and attends sufficient additional training in all relevant areas of accounting and computer systems to remain current and efficient.
- Assist with year-end closing activities of the section and the certified forward process.
- Performs other related duties as required, including special projects.
