Position Overview
The Office of Fiscal Services is seeking to hire a Federal Reporting Grant Activity Coordinator that independently monitors and performs complex functions pertaining to the Bureau of Disability Determination Services (BDDS), in the Federal Grant Reporting Unit. This position organizes, plans, and evaluates reporting and reconciliation processes for the Federal Social Security Administration and the (Women, Infants and Children (WIC) programs; monitors monthly obligations, expenditures and receipts for the Social Security Administration and WIC grants; assists in the budgetary activities for BDDS; assists in the preparation and report of various Federal grants for the department; reviews and implements required statutory changes to the Federal Social Security and WIC programs; supervises staff engaged in complex accounting functions; and serves as liaison to BDDS and WIC.
Essential Functions
- Serves as Federal Reporting Grant Activity Coordinator.
- Serves as a working supervisor.
- Coordinates and researches program information to reconcile, analyze, and prepare required Federal Reports for the Women, Infants and Children (WIC) program.
- Monitors the cash balance of the Social Security Administration and WIC grant and drawing federal funds down from the U.S. Department of Health and Human Services via the ASAP automated cash ordering system.
- Monitors the maintenance and reconciliation of financial records for the Bureau of Disability Determination Services (BDDS) which has an annual budget of $62 million and a $1.2 million payroll.
- Reviews, analyzes and prepares required reports and makes recommendations for changes to effectively and efficiently utilize the federal monies.
- Performs liaison work as representative for the management for BDDS and WIC programs, with other key administrators and management personnel within the Office and the Department of Human Services.
- Assists with various grant management duties for grants other than the Social Security Administration grant and the WIC grants.
- Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with coursework in business or public administration.
- Requires one (1) year of responsible administrative experience in a public or business organization, OR completion of an agency approved professional management training program.
Specialized Skills
- Of the one (1) year of required experience, requires one (1) year experience monitoring federal grants.
Preferred Qualifications
- One (1) year of professional experience monitoring federal grants.
- One (1) year of professional experience utilizing rules and regulations pertaining to federal reporting of grants.
- Two (2) years of professional experience working with Excel.
- One (1) year of professional experience controlling, preparing, reviewing, and evaluating federal reports for federal grant reporting for a public or private organization.
- Two (2) years of professional supervisory experience assigning work, providing guidance to subordinates, training staff, approving time off, and preparing and signing performance evaluations.
- One (1) year of professional experience coordinating and researching program information to reconcile, analyze, and prepare federal reports for a public or private organization.
