Main Purpose of Job

The main purpose of this position is to maintain health and legal records for individuals (Adults and Juveniles) who have intellectual and neurodevelopmental disabilities and are forensically involved. Part of the role will be to obtain needed records (ie school records/IEPs, hospital records, outpatient clinics, guardianship, etc.) The DDA Forensic Unit’s Health Record Specialist will develop and maintain an electronic record filing system that include but not limited to health, legal, educational records (both electronic and paper) to process for use by stakeholders the: legal, social, educational, medical and mental health records to be utilized in the hospital admissions, evaluation and DD Eligibility processes for the Statewide Pretrial Evaluation Services program of the Developmental Disabilities Administration (DDA) which includes; working collaboratively with the DDA, Mental Health Administration (MHA) and Alcohol & Drug Abuse Administration (ADA) personnel, and court personnel in handling court requests. These records will be tracked and managed in accordance with MDH/DDA retention schedules.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preferred candidates should possess the following:

  • Knowledge of and experience with the statutes regarding forensic evaluation and treatment with behavioral health and developmental disabilities service delivery systems of care.
  • Experience with computer programs such as Word, Excel and other relevant computer literacy.
  • Skill being detail oriented and able to attend to deadlines and court requirements.
  • Ability to work with multiple disciplines to achieve position goals.

SPECIAL REQUIREMENTS

Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.
