Main Purpose of Job
The Grants Coordinator reports to the Director of the Office of Special Fiscal Programs and Agency Support. The office is responsible for overseeing grant processes and systems to ensure that agency staff have the tools, resources and training they need to administer state and federally funded grant programs. The Grants Coordinator provides agency-wide support by developing tools, templates, and training resources for internal program managers, promoting consistent standards in grant management and enhancing cross-departmental grant administration expertise.
The Grants Coordinator will also be assigned to administer programs that are special fiscal in nature, including managing grant application and documentation processes, monitoring programmatic and fiscal progress, facilitating grant planning sessions with agency leadership, and delivering technical assistance to grant stakeholders.
POSITION DUTIES
- Provide expert-level technical support to agency-wide program managers on best practices in state and federal grant management, helping them navigate the nuances of grant policies, application processes, reporting, and compliance requirements.
- Develop and maintain a digital library of standardized tools, templates, and toolkits for effective agency-wide grant administration. Ensure these resources are regularly updated and accessible to promote consistent grant management practices across programs. This also includes maintenance of the Grants Hub.
- Develop and coordinate training opportunities and professional development sessions on grant management policies, including compliance with state and federal regulations, to ensure that internal teams remain knowledgeable and equipped to manage grants effectively.
- Administer special fiscal programs from application release through closeout, overseeing each stage to ensure accuracy, efficiency, and compliance. Responsibilities include developing applications, setting up collection and review processes, managing disbursements, and completing all required reporting on time.
- Develop and implement ongoing support services for grantees and stakeholders, including application workshops and sessions to promote grant program awareness and fund availability, delivering accurate information promptly to meet program needs.
- Provide consistent, accurate and responsive communication with stakeholders, proactively addressing questions and issues to support transparency and timely resolution of any program challenges.
MINIMUM QUALIFICATIONS
EDUCATION: A Bachelor's degree from an accredited college or university.
EXPERIENCE: Five years of related experience in coordinating or administrating grant programs and/or education programs.
NOTE: Candidates may substitute a Masters Degree for one year of the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
- Experience in Grant Administration.
- Experience with data management.
- Experience providing technical assistance and/or training.
- Education in Accounting, Business Administration, Economics, Finance, or Public Administration.
