Job Summary
Minnesota Housing is hiring! We’re a mission-focused financial institution looking for an Executive Assistant who will play a critical role in supporting the Local Government Housing Programs Department with several new programs within the department. The purpose of this position is to provide administrative support to the team, assist with coordination and presentations to stakeholders, prepare communications materials, schedule meetings, coordinate speaking engagements and maintain schedules. In addition, the person in this position will assist with coordinating the execution and tracking of contracts. The person in this position will also provide support and assistance to the Planning, Research and Evaluation and Policy and Community Development teams.
Essential Job Duties
- Provide effective administrative support to the Local Government Housing Programs, Planning, Research and Evaluation, and Policy and Community Development departments so that administrative tasks are addressed without their direct involvement as much as possible.
- Ensure that inquiries and needs from the various stakeholders including the Governor’s office, Legislature, Agency leadership, community partners and members of the public are acted on and replied to promptly, with care and accuracy with information and assistance from the agency.
- Assist with communication materials and meetings.
- Provide a variety of support services for the agency so that operations run effectively, and deadlines are met.
- Perform other duties as assigned.
Qualifications
Minimum Qualifications
- Ability to perform administrative support work for a work unit’s expense and budget administration.
- Ability to pay attention to details specific to writing, preparing, and editing materials, using correct spelling, punctuation, grammar, and sentence construction.
- Knowledge of communications sufficient to communicate effectively with internal and external customers.
- Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.
- Skill in analyzing, interpreting, reconciling, and preparing financial information, records, and reports; identify errors; and recommend solutions to procedural or other fiscal problems.
- Ability to document and record information sufficient to maintain electronic or paper files for efficient organization and retrieval of information.
- Skill in customer service sufficient to convey complicated information in an understandable manner as a resource for outside agencies, for clients, coworkers, and customers - Extensive administrative and organizational skill.
Preferred Qualifications

- Previous experience in state government.
- Advanced Microsoft Word, Excel, PowerPoint and Outlook skills.
- Ability to work across multiple projects with attention to detail and deadlines.
- Familiarity with plain language writing and editing.
- Experience managing contracts and/or budgets.
- Two (2) years of executive administrative support experience
Physical Requirements
Requires moving office items such as file folders and small office tools.
