Job Summary
The Board of Pharmacy – Licensure Department provides centralized licensure support for the communities that service the State of Minnesota as outlined by the State of Minnesota Legislature. The services provided include administrative services and facilities management, licensure management, issuance, renewal and advice and direction with compliance to the pharmacy communities for the State of Minnesota. This position will provide administrative support by performing all tasks related to the record management as assigned by staff personnel. The responsibilities are:
- Validate that documents in boxes labeled as scanned have been scanned and indexed on the S-Drive or entered in the ALIMS system. If not, scan and index documents on the S-Drive.
- Scan and index documents by category and then label and log the box for shredding.
- Under the direction from the supervisor, participate in team meetings for knowledge and updates of system usage and file organization.
- Perform other duties as assigned.
Qualifications
Minimum Qualifications
- Knowledge of data entry procedures and systems, such as MS Office or similar data entry systems.
- Skills in data entry sufficient to read source documents and enter data in specific databases or tracking systems; and maintain accurate records and reports
- Ability to enter data into established spreadsheets.
- Knowledge of communications sufficient to understand and be understood during interactions with others.
- Skill in customer service sufficient to perform the duties with politeness, respect, and interest in positive problem solving.
- Skill in document and records management sufficient to accurately file and categorize electronic documents.
Preferred Qualifications
- Experience scanning and indexing documents.
- Familiarity with ALIMS or similar database.
- Experience with office equipment (i.e., computers, copier/scanner, etc.).
- Demonstrated ability to organize and prioritize tasks.
Physical Requirements
Ability to:
- Work in a seated or standing position for extended periods of time.
- Collect and deliver items from one location to another.
- Use a keyboard for extended periods of time which may include repetitive motion.
- Move and/or transport items weighing up to 25 pounds on a regular basis.
- Maintain a stationary position for a prolonged period of the day Frequently bend, lift, and maneuver items daily.
