Why does the job exist?
This position exists to ensure the accurate and timely delivery of financial services to the agency. It plays a critical role in the annual year-end financial audit by preparing financial statement schedules, reconciling general ledger transactions, and maintaining the trial balance. Additionally, the position contributes to the development of the agency¿s annual Operating Budget and Appropriation Request. It also requires familiarity with contract management processes and serves as a backup for contract-related responsibilities. Due to the agency's size, the role necessitates cross-training and involvement in various accounting functions, including contract processing, grant monitoring, accounts payable and receivable, and financial reconciliations.
How does it get done?
Duties for this position include :
- Reviewing and reconciling financial accounts, including payroll and month-end cash reconciliations
- Process federal grant draws, deposits, and ensure compliance with reporting requirements
- Research and correct discrepancies through journal entries and financial analysis
- Assist in preparing the annual operating and appropriation budget requests, tracking expenditures, and generating reports
- Route contracts for approval, create purchase orders, and process contract payments
- Manage accounts payable and receivable, including processing vouchers, deposits, and maintaining records in the SHARE system
- Supporting the annual audit with reconciliations, documentation, and financial reporting

This position serves HED leadership, employees, associated agencies, local organizations and students enrolled in New Mexico Higher Education Institutions.
Ideal Candidate
The ideal candidate will have :
Minimum Qualification
Bachelor's degree in Accounting, Finance, or Business Administration and four (4) years of experience in accounting, finance, economics, and / or statistical analysis. Any combination of education from an accredited college or university in a related field and / or direct experience in this occupation totaling eight (8) years may substitute for the required education and experience.
