Why does the job exist?
The Office Clerk General - A Position performs the duties of Registrar of Vital Records in the Colfax and Union Local Public Health Office (PHO). This Position provides clerical support for the Health Services Program at the Colfax and Union PHO. They work collaboratively with a multidisciplinary team to support the programs offered, including, but not limited to: Immunizations, Disease Prevention, Tuberculosis, Harm Reduction and Syringe Exchange, Family Planning, Womens Health, Breast and Cervical Cancer and STDs and outreach activities including COVID-19 testing and vaccinations. They complete and submit monthly reports for the various services provided through Health Services.
How does it get done?
This position provides the highest level of customer service and flexibility to accommodate the clients to query and information for daily vital records (birth and death records). This will be completed using the required Vital Record Management System, regulations, policies and procedures following a comprehensive Vital Records training.
This Position provides the highest level of customer service to accommodate the Health Services clients. They monitor client schedules, call to confirm appointments, update client insurance, scan and sort documents for the electronic health record, NM State Immunization Information System (NMSIIS) entry and support, check reports/records, and provide any other support required. They effectively utilize electronic records system, check the Medicaid portal, insurance cards, proof of income, update billing address, phone number and provide a receipt to every client. They provide support for outreach activities, such as flu clinic and health fairs.
Who are the customers?
The Office Clerk General - A Position is focused on the population of Colfax and Union County. They serve the population of New Mexico and specifically the population of the NE Region (Colfax, Guadalupe, Harding, Los Alamos, Mora, Rio Arriba, San Miguel, Santa Fe, Taos and Union Counties) who might otherwise not have access to services. The Office Clerk supports the functions of the medical providers, nurses, clerks and other program staff (such as WIC, Health Promotion, CMS, emergency Preparedness and Harm Reduction) to achieve common public health goals in Colfax and Union County and may be called upon to travel throughout the Northeast Region or to other parts of the state on occasion.

Minimum Qualification

Employment Requirements
Successful completion of the Health Insurance Portability and Accountability Act (HIPAA) course. Must possess and maintain a valid New Mexico Driver's License. Must possess and maintain a a current Defensive Driving Course Certification from the State of New Mexico or must pass and received Defensive Driving Course Certification as a condition of continued employment and Vital Records Training (will be provided once hired).
Working Conditions
State of New Mexico employees may be impacted by the Public Health Order dated December 19, 2022, which requires facilities licensed or certified by the Centers for Medicare and Medicaid Services ("CMS"), including all hospital types, long-term care facilities, nursing homes, hospice facilities and rehabilitation facilities, as well as assisted living facilities and adult day care settings, to adhere to all COVID-related requirements prescribed by CMS, including, but not limited to masking and staff vaccination.
Work is usually in an office setting with direct client contact and on occasion in the community; work is in loud environments. Travel may be required to get to and from other Northeast Region Local Health Offices to support clerical staffing, extensive PC use, extensive telephone usage, lifting up to 30 pounds, bending, filing involving stooping & reaching; attend workshops and meetings.
