Note: Permanent and time-limited NC State Government employees must separate from their permanent or time-limited position in order to work in a temporary position. All temporaries are limited to one NC State Government temporary assignment at a time.
Individuals hired into a temporary State job must be fully qualified for the job. This temporary position is located in Raleigh - Wake County.
Job Order Hourly Rate of Pay: $20.00 (Based on education and/or years of relevant work experience reflected on the application).
This temporary position will be assigned to the State Treasurer's Office. This position is located at 3200 Atlantic Ave., Raleigh, NC 27604.
Administrative Responsibilities include:
- Performing complex administrative duties, involving demonstrated competence and sensitive judgment with confidential or private materials and information
- Work with employees at all levels of the organization and coordinate with other administrative assistants helping to drive alignment and consistency of communication/ approach across offices/locations
- Manage Outlook calendars for members of the portfolio team: schedule meetings, reserve and prepare conference rooms and organize meeting refreshments as needed, may include drafting agendas and minutes
- Draft basic correspondence / documents and proofs work to ascertain communication is clear in tone and error free
- Ensures at all times that the department is orderly, office supplies are stocked and departmental mail is distributed.
- Organize and retain files and required records within CRM system (Backstop)
- Print and bind presentation books and materials
- Responsible for PO processes and assist with invoice processes
- Reconciles accounts, verifies statement items and totals with department records, and files documents electronically.
- Drafting, proofreading, attaching appropriate documentation, completing work within designated timelines
- Proficiency with Windows and a working knowledge of Microsoft Outlook, Word, Excel and PowerPoint and ability to work with software databases in a web-based environment.
- Book domestic and international travel arrangements including air, hotel and ground transportation, driving directions and communication with third parties
- Build complex international travel itineraries
- Liaise with various departments and individuals including the Financial Operations Division and the Executive Team to develop effective program communications and compliance management
- Build strong relationships with internal and external travelers and arrangers
- Operate with discretion within well-defined policy, with regular managerial review
- Trouble-shoot issues and resolve / recommend solutions independently
- Deliver an enhanced traveler experience that balances our fiscal responsibilities with traveler’s needs and a positive travel experience
- Improve engagement and communication with travelers to include, but not limited to, cultural and security awareness when traveling outside of countries of origin, and promotion of policy and program responsibilities
- Accurately complete and submit Budget Division Authorizations (BDA) and related schedules to ensure compliance with travel policy and procedures and achieve cost-efficient travel.
- Prepare Employee Reimbursement of Travel and Other Expenses Forms and related schedules
- Reconciles PCard statements
- Monitor and ensure compliance with Travel Policy and Procedures
Knowledge, Skills and Abilities / Competencies

- Thorough knowledge of office management techniques; and ability to practice effective communication techniques both orally and in writing including ability to coordinate a variety of resources in gathering information and independently answering inquiries
- Considerable knowledge of effective practices with the ability to plan and prioritize work independently
- Ability to analyze, interpret, and implement policy and procedural guidelines and to resolve problems and questions independently
- Ability to establish and maintain effective working relationships with employees, vendor representatives, officials, and other stakeholders as needed
- Understanding and expertise in international travel requirements, i.e. visas, passports and immunization requirements; excellent communication skills and follow through required to advise travelers of those requirements
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of relatedadministrative experience; or equivalent combination of education and experience.
