We are seeking a detail-oriented and proactive Administrative Specialist to enhance the efficiency of our Boards and Commission operations. This role is vital for ensuring seamless communication and organization within our team and with external partners. This position will assist the Boards and Commission staff with day-to-day operations to includes but not limited to processing board and commissions applications within our customer relationship management system, updating person and appointment records, process incoming mail; organize, edit, and create press releases; and complete department inventory checklist.Additional Responsibilities include:
- Appointment and Event Coordination: Organize and manage appointments, meetings, and events to promote effective collaboration within the team and with stakeholders.
- Roster and Schedule Management: Design and maintain comprehensive rosters and work schedules that reflect optimal resource allocation and maximize team productivity.
- Communication Management: Handle incoming calls and disseminate important updates promptly, ensuring all team members are well-informed and aligned with our goals.
- Resource Allocation: Ensure that all necessary resources are available and appropriately allocated to support ongoing projects and initiatives.
- Capacity Planning Contribution: Participate actively in capacity planning discussions to help anticipate future organizational needs and resource requirements.
- Administrative Support: Execute various administrative tasks diligently, contributing to the smooth operation of the organization and supporting overall objectives.
- Experience providing administrative support, including typing, filing, organizing, and maintaining files, and logging/reporting data.
- Knowledge of office management practices and procedures.
- Strong ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
- Proficient in Microsoft Office Suite (Access, Word, Excel).
- Effective verbal and written communication with staff, management, and customers.
- Experience handling confidential records.
- Ability to maintain confidentiality in the workplace.
