What You'll Do:

The following duties are standard for this position. They are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

Performs routine tasks (e.g., typing, creating and editing files, filing, data entry) and non-routine administrative tasks (e.g. independently interprets tasks and prepares correspondence, briefing, data compilation and analysis, and other materials for the College on behalf of the Director).

Enhances office efficiency by acting for and relieving the Director of difficult and/or time- consuming administrative duties. Identifies office needs and creates or obtains necessary tools (e.g. procedures, databases) to enhance efficiency. Develops workflow processes and standard operating procedures.

Conducts research independently in order to inform decision-making and project implementation. Assists Director with implementing and monitoring continuous improvement processes. Facilitates and expedites the Director’s review process by proactively locating, organizing, and interpreting information to aid in decision making.

Creates and maintains a centralized coordinated process for projects. Develops and implements special assignments assigned by the Director. Assists with coordination, preparation, and management of special projects of the College.

Works effectively with Supreme Court staff, internal and external constituents. Responds to inquiries from Court employees and constituents.

Coordinates and manages business functions for the office in coordination with other Judicial College staff.

Qualifications

What we’re looking for:

This position requires a high school diploma or equivalent. A minimum of three years of experience working in a professional administrative support position with significant responsibilities is required. Bachelor’s degree preferred.

Good analytical and problem-solving skills.

The ability to perform a variety of administrative assignments with minimal direction using a high degree of independent judgment and the ability to prioritize a large volume of on- going tasks and projects in an environment with regular disruptions and distractions while maintaining attention to detail, tact, and decorum.

Excellent time management and organization skills. Ability to meet multiple deadlines and deal with shifting priorities.

Strong writing skills and the ability to create complete and concise correspondence. Must exhibit excellent spelling, grammar, punctuation use, and professional formatting of documents and presentations.

The ability to work both independently and as a team member.

The ability to work under pressure, discreetly handling all aspects of the job with professionalism, patience, discretion, and confidentiality.

General administrative skills such as: scheduling, calendar management, public records management, database management, and the planning and preparation of meetings, speaking engagements, and trips. Previous responsibility coordinating events for internal and external constituents preferred.

A high level of competency using advanced functions in Microsoft Word, Excel, Outlook, and PowerPoint. Experience with Microsoft Access, Publisher and other software and platforms.

Excellent technological skills, including the operation of multi-function devices such as: printers, copiers, scanners, label makers, office phones, and fax machines. Must effectively use technological education tools such as: PCs, laptops, multimedia projectors, websites, videos, printed display materials, and flip charts. Must be able to set up and test equipment, trouble-shoot, and solve minor equipment problems.

Supplemental Information

This is a non-exempt unclassified position that reports to the Director, Judicial College. The starting salary, which is commensurate with experience, is $54,745.60 - $69,492.80.
